Administrative Assistant
Under general direction, perform a wide variety of administrative duties; assist in keeping department personnel and operational records. Work varies, interpretive judgment is required within generally prescribed standards and procedures; has opportunity for discretion and independent action.
Perform administrative support functions requiring independent judgment and a high level of confidentiality while using tact, discretion and diplomacy; prepare, compile and maintain a variety of confidential and complex departmental records including personnel information, reports, correspondence, letters, memos, agendas, minutes, press releases, policies, purchase orders, marketing material, and other documents; compose draft correspondence independently, proofread and prepare the final copy prepare semi-complex spreadsheets and reports; process seasonal employee paperwork; enter confidential data into a records management system; file, sort, scan and organize information; assist with recruitment efforts; manage applicant tracking system; schedule meetings and prepare meeting materials, assist with special projects as assigned; assist with new employee orientation including benefit management and overview; perform reception duties to make visitors feel welcome; answer and forward calls to appropriate department. Perform overtime as required and other duties as assigned.
Establish and maintain effective working relationships with employees, officials and the public. Regular timely / punctual attendance. Maintain and exhibit discretion at all times when handling confidential information. Prepare, organize, file and scan records, reports and other documents. Maintain working knowledge of city policies. Use computer to manage information. Receive and forward messages accurately.
Ability to read and comprehend written material. Ability to listen and apply information and instructions. Ability to organize files and effectively retrieve data. Ability to comprehend and apply computer software principles.
Minimum education, training, and experience requirements : High school diploma (GED) with four years of progressively responsible clerical work including strong computer, analytical and mathematical skills. Advanced Excel knowledge with prior Human Resources experience preferred. Valid operators license. Residency requirements : None.
