Salary : $18 - $20 per hour
We're searching for a dynamic, diligent, and compassionate office assistant interested in gaining knowledge and experience in the legal field, while also helping people through a tough situation. Youll be responsible for providing support to our Attorneys and Legal Assistants and will assist clients with diversion and Interlock device questions. You'll also have the opportunity to learn about and support other departments in the organization.
Applicants should be reliable, extremely detail oriented, and organized; bring great interpersonal and communication skills; have some background in customer service; and be technologically savvy (basic knowledge of MS Office with the ability to learn new programs quickly).
Essential Responsibilities
Serve as diversion specialist for clients, including check-ins, dismissal process and end process
Serve as Interlock device specialist for all clients
Serve as primary contact for former clients reaching out with questions
Monitor no-complaint cases for filing status
Use case management software to record daily actions / communications for all client interactions
Scan and attach paperwork to matters for any remote legal assistants
Prepare and mail Diversion workbooks to clients as requested
Collaborate with marketing team on Diversion workbook updates
Draft and proof motions to dismiss or vacate as requested
e-File documents related to the dismissal process or interlock device removal process
Prepare and e-file motions to cancel status check hearings
Prepare and file notices of substitution
Manage incoming and outgoing legal department mail
Monitor and update internal Wiki pages pertaining to dismissal process, diversion end process, interlock removal process for all jurisdictions
May work on special projects, such as the White Glove Diversion Program
Create big white sheet for legal team metrics each week
May act as legal assistant coverage upon completion of training
Other duties as required and assigned
Operations Responsibilities
Create new hire booklets
Serve as backup for some financial team duties
Provide back-up phone support for incoming client and potential client calls
Required Education and Experience
High school diploma or equivalent required
Minimum 2-5 years general work experience
Minimum 1 year clerical or customer service experience required
Previous law firm or legal field experience or education preferred but not required
Required Skills and Abilities
Intermediate proficiency in customer service with ability to utilize company messaging and convey our mission
Excellent communication skills
Excellent attention to detail
Ability to work independently to identify and solve problems
Excellent organizational and time management skills
Ability to respond to common inquiries and questions from internal and external customers
Intermediate proficiency with Microsoft Office Suite and comfortable learning and using new software programs
