JOB SUMMARY

The Executive Assistant (EA) will serve as the rhythm keeper of the organization and act as the tactical right hand to the Founder & CEO. This role requires a highly organized, energetic, and reliable professional who thrives in a dynamic environment and exercises the utmost discretion. The EA will be a trusted partner to the CEO, supporting both internal and external priorities and ensuring smooth execution of day-to-day activities. Reporting directly to the CEO, this role is critical in driving organizational focus, removing bottlenecks, and helping the leadership team achieve strategic objectives.

RESPONSIBILITIES INCLUDE

  • Manage and prioritize the CEO’s calendar, ensuring timely attendance at meetings, events, and commitments.
  • Track, manage, and follow up on CEO’s tasks and to-dos to ensure timely completion.
  • Support the executive team by preparing agendas, taking minutes in executive meetings, documenting processes, and ensuring follow-through on action items.
  • Represent the CEO by attending internal meetings and events as needed, communicating key action steps and decisions back to the CEO and leadership team.
  • Act as a gatekeeper for internal and external inquiries, routing and prioritizing communications appropriately.
  • Prepare the CEO and / or executive team for meetings by gathering, developing, and updating agendas, presentations, and other materials to maximize return on time investment.
  • Build and maintain trust-based relationships with both internal and external stakeholders.
  • Perform all other duties as assigned to support the CEO and the organization.

QUALIFICATIONS

  • Proven experience as an Executive Assistant, Chief of Staff, or in a similar senior support role.
  • Exceptional organizational skills with the ability to prioritize competing demands and manage multiple tasks simultaneously.
  • Strong communication and interpersonal skills, with the ability to interact confidently at all levels of the organization.
  • Demonstrated ability to maintain strict confidentiality and discretion.
  • Proactive, adaptable, and resourceful problem solver with high attention to detail.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and other productivity tools.
