SUMMARY
The Office Administrator is responsible for the overall management of the office by engaging partners and guests, ensuring access to shared supplies and functioning equipment for staff, and through coordinating resources needed by volunteers to flow in their assignments.
DUTIES AND RESPONSIBILITIES
- Manages all church traffic, including main church phone line, church email, and media email addresses
- Receives, processes, and distributes mail and package deliveries
- Monitors the door, and allows access as necessary
- Processes service requests for facility needs, and schedules them with adequate follow up, through resolution
- Maintains office and church supplies to ensure adequate inventory at all times
- Ensures machines and systems are functional, through performing basic health checks, troubleshooting, and communication with IT department, as necessary
- Manages the church’s calendar and all EMC requests for use of space, and marketing / media needs
- Creates and updates an open / close schedule so that building access protocols are strictly followed
- Manages the partner database system for ANWA Chicago
- Ensures that new partners and / or guests are entered into the database immediately
- Generate and provide reports, as necessary
QUALIFICATIONS :
Associates degree or higher preferred2+ years of experience in a fast past office environmentProficient in basic database function, as well as Google and Microsoft SuiteCOMPETENCIES :
Excellent written and verbal communication skillsAble to identify and offer solutions for problems in real-timeAble to execute routine tasks with minimal supervisionAble to exercise a high level of discretion and confidentialityPHYSICAL DEMANDS AND WORK ENVIRONMENT :
Should be able to lift small packages, up to 10 lbs.Should be comfortable engaging persons of different personalities and behaviors, with diligence and compassionShould be comfortable in and able to contribute to a Christ-centered environmentShould be comfortable in a casual, yet professional work environmentShould be diligent and instinctive in an office situated in an urban setting
