Job Description
Wilson Equipment Company is currently seeking a Service Writer for our Lexington location. This Service Writer is responsible for working with our customers and technicians, as well as our Service Manager and Rental Manager. They are required to be excellent at communicating, organized and maintain healthy relationships. This position is considered a bridge between our customers and our service / rental departments-ensuring smooth coordination of repair work, accurate documentation, and exceptional customer service.
Key Responsibilities
Customer Communication :
Greet and assist customers with service inquiries, machine drop-offs and repair updates
Provide clear and timely communication regarding repair status, estimates and completion timelines
Service Intake & Coordination :
Create and manage service work orders for incoming equipment.
Coordinate with service technicians to schedule and prioritize repairs.
Ensure accurate documentation of customer concerns, technician findings, and completed work.
Workflow Management :
Help maintain efficient workflow between the service department and other departments (parts, sales, rentals).
Support technicians with administrative needs to minimize downtime and improve productivity.
Administrative & Billing Support :
Close internal and customer work orders accurately and promptly to support billing.
Verify job costs, parts, and labor charges before final invoicing.
Assist with service reporting and record-keeping.
Rental Desk Support :
Cover the rental desk during the rental manager's absence.
Handle rental check-ins / outs, rental agreements, and customer communication.
General Office Support :
Assist with other service or administrative tasks as needed to ensure smooth daily operations.
Required Qualifications
Previous experience in a service writer, service advisor, or administrative support role (preferably in heavy equipment, trucking, or automotive industries).
Strong customer service and communication skills-both written and verbal.
Ability to manage multiple priorities in a fast-paced environment.
Solid computer proficiency, including experience with dealership management or work order systems.
Basic mechanical understanding of heavy equipment or related machinery preferred.
High school diploma or equivalent (Associate degree or technical background a plus).
