Social Services Processing Assistant III
To perform varied administrative processing duties for the Department of Social Services. An employee in this class performs routine to moderately complex clerical and customer service duties in support of agency operations. Work is performed under general supervision and is evaluated on the basis of attainment of specific performance objectives, personal observation, periodic conferences and analysis of work completed.
Duties include :
- Answering the telephone; providing accurate information and assistance and / or forwarding calls to appropriate personnel; taking messages as necessary.
- Greeting and assisting office visitors; directing visitors to appropriate offices.
- Providing information to the public regarding department programs, services and procedures.
- Assisting clients in applying for department services; distributing applications and other forms.
- Issuing County case numbers to staff.
- Maintaining archived case files; retrieving files for staff and others as requested; establishing client files as requested by staff.
- Entering and updating client information on computer record-keeping system.
- Typing, proofreading and maintaining records and reports prepared by department staff.
- Processing reimbursement requests.
- Performing a variety of other clerical duties in support of department activities, which include typing various reports and records, compiling information and data, copying and filing documents, sending and receiving faxes, processing daily mail, maintaining lists and logs, ordering supplies, etc.
- Operating a variety of equipment, which includes a computer, printer, typewriter, fax machine, copier, telephone, calculator, paper shredder, etc.; using clerical and computer supplies.
- Interacting and communicating with various groups and individuals such as the immediate supervisor, co-workers, other County personnel, clients, and the general public.
- Attending meetings, training, workshops, etc., as required to enhance job knowledge and skills.
- Providing clerical assistance to other divisions as requested.
- Staffing emergency / disaster shelters and assisting with other department activities as requested.
- Performing related duties as required.
Knowledge, Skills and Abilities include :
Knowledge of the methods, policies and procedures of the Department and County pertaining to specific duties of the Processing Assistant III.Knowledge of modern office practices and equipment.Knowledge of proper English usage, vocabulary, punctuation and spelling; has knowledge of basic mathematics.Ability to comprehend, interpret and apply regulations, procedures and related information.Skilled in applying responsible attention to detail as necessary in preparing records and reports.Skilled in good organizational, customer service, bookkeeping and clerical activities.Ability to read and interpret various materials pertaining to the responsibilities of the job.Ability to use computers for data and word processing and records management.Ability to type accurately at a rate sufficient for the successful performance of assigned duties.Ability to operate and maintain a variety of office equipment as necessary in the performance of daily activities.Ability to read legal / administrative documents pertaining to the responsibilities of the job.Ability to use independent judgment in performing routine tasks.Ability to plan, organize and prioritize daily assignments and work activities.Ability to offer assistance to fellow employees as necessary.Ability to learn and utilize new skills and information to improve job performance and efficiency.Ability to perform duties in a courteous manner and with the utmost integrity in the best interest of the public.Ability to work under stressful conditions as required.Ability to react calmly and quickly in emergency situations.Education and experience requirements include a high school diploma or GED supplemented by one to two years of related experience, or an equivalent combination of education, training and experience that provides the required knowledge, skills and abilities.
Physical Requirements : Must be able to physically perform the basic life operational functions of reaching, standing, walking, fingering, grasping, talking, hearing, and repetitive motions. Must be able to perform sedentary work exerting up to 10 pounds of force occasionally and / or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects. Must possess the visual acuity to compile data and statistics, operate a computer, proof read materials, and do extensive reading.
Working Conditions : Work in this class is performed primarily in an environmentally controlled office setting and employee is not substantially exposed to adverse environmental conditions.
Special Requirements : Valid North Carolina driver license.
FLSA Status : Non-Exempt.
