Description :

The Payroll Administrator is responsible for managing all aspects of payroll processing, including certified payroll reporting, job cost allocation, and system administration within Paylocity. This role ensures accurate and timely compensation for employees while maintaining compliance with federal, state, and local regulations. The ideal candidate will have strong analytical skills, attention to detail, and experience with multi-state payroll and prevailing wage projects.

Requirements : Payroll Processing

  • Collect, verify, and enter timekeeping data for field and office staff.
  • Process weekly, biweekly, and monthly payroll cycles using Paylocity.
  • Manage direct deposits, physical checks, and payroll corrections.
  • Maintain payroll records and generate reports for audits and finance.

Certified Payroll

  • Prepare and submit certified payroll reports for government-funded projects.
  • Ensure compliance with Davis-Bacon Act, DIR, and prevailing wage requirements.
  • Coordinate with HR and project managers to validate job codes and EEO classifications.
  • Audit certified payroll submissions for accuracy and completeness.
  • Job Cost Allocation

  • Track labor costs by job and location using integrated systems (e.g., Sage, QuickBooks)
  • Export job cost data from SAGE to Paylocity for field employees.
  • Collaborate with accounting to reconcile payroll against job budgets and cost centers.
  • System Administration

  • Configure and maintain Paylocity settings including job codes, cost centers, and EEO classes.
  • Support implementation and testing of new payroll features and workflows.
  • Provide training and support to managers on time tracking and payroll tools.
  • Compliance and Reporting

  • Ensure payroll transactions comply with federal, state, and local laws.
  • Prepare W-2s, 1099s, and other year-end documents.
  • Respond to employee inquiries regarding payroll, taxes, and deductions.
  • Qualifications :

  • High school diploma or equivalent required.
  • Fluency in both English and Spanish is a plus
  • 2 years or more of payroll processing experience.
  • Experience with Paylocity or similar payroll software.
  • Familiarity with certified payroll and prevailing wage regulations.
  • Strong Excel and data management skills.
  • Preferred :

  • Payroll certification (CPP, FPC)
  • Experience with Sage or QuickBooks for job cost tracking.
  • Knowledge of multi-state payroll tax handling.
  • Working Conditions :

  • This position becomes eligible for benefits after a qualifying period.
  • Office-based role with occasional physical activity (lifting file boxes, standing / sitting for extended periods).
