Salary : $20 - $25 DOE

Classification : Full Time, Non-Exempt

Location : Working hours will be 8 : 00a to 5 : 00p, Monday-Friday in our Temecula office.

Hourly Range $20 - $25 hr.

About the Position :

NBS is currently looking for a friendly and welcoming Office Coordinator to join our growing company.

We are looking for an Office Coordinator

to manage our front desk on a daily basis and to perform a variety of administrative and clerical tasks. As an Office Coordinator, you will be the first point of contact for our company. The duties include offering administrative support across the organization.

To Succeed :

To be successful as an Office Coordinator, you should have a pleasant personality, as this is also a customer service role. You should have strong communication skills, a high attention to detail and be resourceful. A high level of reliability is essential in this position as it plays a central role in maintaining daily operations.

Finally, you will do your work with a feeling that you own the company youre representing. Why? Because were an employee-owned company.

Essential Duties and Responsibilities :

The Office Coordinator position is focused primarily on, but not limited to, the following duties :

  • Answer, screen, and effectively direct phone calls in a polite and friendly manner.
  • Operate standard office equipment on a regular basis including a multi-line telephone, copy machine, and computer.
  • Receive, sort, and distribute daily mail and deliveries.
  • Maintain office supplies, records, calendars, and schedules.
  • Perform clerical duties, maintain files, and organize documents.
  • Assist in planning company events, meetings, luncheons, and employee team building activities.
  • Keep reception and all common areas in a clean, safe and organized condition.
  • Perform other clerical and administrative tasks such as mailers, production of proposal materials, prepare deposits, and additional administrative overflow tasks from other departments.

Position Requirements : The following skills are important for this position :

  • Must be able to handle a high volume of phone calls and emails on a consistent basis throughout the day.
  • Requires excellent phone skills including patience, active listening, and ability to communicate calmly to understand and assist customers and NBS team members.
  • Have the ability to be physically present and prepared to start duties by agreed upon start time.
  • Must have the ability to write professional emails and letters in response to inquiries.
  • Must be Client-service oriented, as our Clients are our most important asset.
  • Demonstrate high level of responsiveness to client and handle client questions and challenges with a professional approach.
  • Ability to handle a multitude of tasks quickly and accurately.
  • Attention to quality and detail.
  • Able to work independently at a high level of accuracy.
  • Must be able to organize assigned workload and perform work efficiently as well as be flexible and adapt to changes.
  • Must be able to determine critical vs. non-critical issues and handle them accordingly.
  • Education and / or Experience :

  • Experience in customer service or related position is preferred.
  • Proficient in Word and Excel.
  • Basic understanding of administrative and clerical procedures and systems.
  • Fluent in Spanish is not required but is a plus.
  • Work Environment :

  • Working hours will be 8 : 00a to 5 : 00p Monday-Friday in our Temecula office.
  • This job operates in an indoor office setting. This role routinely uses standard office equipment such as computers, keyboard / mouse, phones, photocopiers, and filing cabinets.
  • This job consists of being in a sitting position at a desk for more than 50% of the time.
