Law Firm Intake Specialist (Marketing / Admin Role)

Responsibilities :
This role is a combination of marketing and admin roles. Some of the administrative duties include :
Answer telephones, route callers, answer questions, and schedule return calls; All communication with clients will be in a professional, sympathetic, and compassionate wayOpen, sort, scan, save / route mailPut deadlines in the systemSchedule client appointmentsReview daily appointments and remindersMake copies / scans of documentsTriages the Owner's emailSome of the Marketing Support Duties include :
Talks to leads and identifies whether they are qualified leads by asking a series of questions designed to speak to the ideal client, target the correct legal issues, gauge urgency / motivation, and determine whether there is potential for a conflict of interestSchedules qualified leads for initial consultations (sales calls)Prepares engagement agreements and follows up to ensure prospects sign the agreement and make the agreed paymentAssists with onboarding the client to the firm (opening the file in case management software, notifying the legal team)Follows up with new clients within 1 day of engagement to ensure customer satisfaction and to determine whether there are any questions about client policiesMakes referrals to appropriate firms / other sources, shares free resources, or provides other assistance (for leads who are not ideal or who do not schedule a consultation)Stays in contact with leads who do not schedule consultations, PNCs who do not appear for their consult, and PNCs who do not sign up after their initial consultation to keep the door open for future contactUpdates the Firm's databases, reports, or spreadsheets to track incoming calls, leads qualified, consultations scheduled, referral sources, and other key metricsMakes regular calls to clients to ensure good customer service and to give clients confidence that attention is being paid to their caseCommunicates with clients when the case closes, obtains reviews and testimonialsMakes back-end marketing calls to former clients and current clientsCreates lists for calls to current referral sources, provides call lists to the Owner prior to the call, and updates the Leads spreadsheet dailyFollow an approved script to call former clients (on behalf of the Owner) to check in with current or former clientsEnsure notecards and follow-up cards are in stock and sent timely after networking events or on important dates, and the rainmaking rolodex (or CRM) is updated timelyMaintain and help update a tracking system to monitor and report on progress with leads, prospective new clients, and referral sourcesProvide weekly reports to the OwnerCreate contacts and update contact information in the case management or contact management systemProvide the Owner with lists of Leads to call for the weekUpdate the Leads list to track the last contacts MonthlyMake weekly Postings on LinkedIn, Facebook, and other social media outlets (with attorney assistance for content)This position can be hybridQualifications :
Strong computer and data entry skillsSkilled with Microsoft Office, especially Microsoft ExcelPossesses outstanding communication skills and sense of empathyRecognition of all types of immigration forms and can place deadlines on the calendarProficiency with Outlook and Microsoft 365 requiredProficiency with MyCase is a plusSpanish or other languages are a plusYou smile when you answer the phoneYou are very good with calendars, e-mail, spreadsheets, word processing, LinkedIn, and FacebookA bachelor's degree is preferredAt least 1-2 years of previous experience in an immigration law firm setting, performing administrative tasksAbout Company
