Role Overview

As an Onboarding Specialist, youll play a key role in delivering a seamless and engaging experience for new hires. Reporting to the Shared Services Team, youll coordinate onboarding logistics, serve as a trusted point of contact, and continuously improve processes to ensure every new employee feels welcomed, informed, and set up for success.

Key Responsibilities

  • Manage all administrative aspects of onboarding, including welcome emails, onboarding portal access, orientation logistics, and documentation (e.g., I-9, tax forms, NDAs).
  • Act as the primary contact for new hires, providing guidance and support throughout their onboarding journey.
  • Collaborate with hiring managers, IT, payroll, and other departments to ensure timely and accurate completion of onboarding tasks.
  • Coordinate orientation sessions, including scheduling, agenda planning, and travel arrangements.
  • Continuously evaluate and enhance onboarding workflows, checklists, and communications to improve the new hire experience.
  • Ensure compliance with internal policies and labor regulations during onboarding.
  • Maintain and update onboarding materials and internal knowledge base content.
  • Monitor onboarding metrics (e.g., time-to-productivity, completion rates, feedback) and recommend improvements.
  • Support broader HR operations, including triaging ServiceNow requests, tracking SLAs, and producing ticket trend reports.

Qualifications

  • BA / BS degree or equivalent professional experience
  • Experience with HRIS platforms such as SuccessFactors, Workday, or Oracle
  • Strong organizational skills and ability to prioritize in a fast-paced environment
  • Excellent verbal and written communication skills
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint)
  • Strong client service orientation and ability to build effective working relationships
  • High attention to detail and commitment to quality
