Job Title : Operations & Warehouse Assistant

Overview

We are seeking a reliable and detail-oriented Operations & Warehouse Assistant to support daily warehouse and office functions. This role requires strong organizational skills, attention to detail, and the ability to communicate effectively in both English and Chinese . The ideal candidate is proactive, adaptable, and able to manage routine operations when supervisors are not present.

Key Responsibilities

• English and Chinese
• Sunday work is required
• Print and verify shipment work lists based on the latest instructions and emails.
• Monitor data anomalies for each shipment, ensuring label accuracy, packaging integrity, and proper warehouse handling.
• Prepare outbound shipment orders for local deliveries and third-party carriers (e.g., XPO, TForce), including scheduling and clear communication via phone / email in both English and Chinese.
• Collect, organize, and file Bills of Lading (BOLs) for all outbound shipments, including driver signatures and ID verification. For local deliveries, ensure drivers promptly upload Proof of Delivery (POD) to the WeChat group.
• Maintain and update daily tracking tables to reflect current inventory and shipment statuses, including inbound / outbound pallet counts, pickup availability, and customs clearance updates.
• Assist warehouse supervisors with additional tasks such as labeling, pallet measurements, office documentation, and maintaining a clean and organized workspace.
• Independently oversee daily warehouse operations when supervisors are absent, including coordinating goods movement and guiding warehouse staff.

Qualifications

• Previous office and / or warehouse experience preferred.
• Familiarity with inventory management, order fulfillment, and shipping processes is a plus.
• Strong attention to detail with the ability to identify and resolve discrepancies.
• Effective communication skills in both English and Chinese (written and verbal).
• Proficiency with basic computer tools (Excel, email, WeChat).
• Ability to work independently and as part of a team in a fast-paced environment.
