Executive Administrator
Our client is seeking an Executive Administrator to perform secretarial and administrative assignments of a confidential nature including, but not limited to, calendar management; scheduling meetings; booking meeting rooms; coordinating travel arrangements including booking travel tickets and settlement of related expenses.
Responsibilities :
- Conduct administrative and office related project functions for the Cash Equities team.
- Engage in roadshow planning / logistics for the Cash Equities team.
- Accurately process expenses and actively participate in the go-live on the concur expense management system.
- Act as the first line of defense by identifying and escalating any expenses not in line with policies promptly.
- Improve efficiency in bankers travel arrangements, with goal of overall reduction in travel-related costs including airfare, hotel, and car bookings.
- Serve as an ambassador in client interactions.
- Optimize internal meeting logistics, including catering and room bookings, guest reservations.
- Ensure compliance with info barriers policy when working with MNPI, including visibility to banker calendars and sitting with banking teams, and with requests for guest access to restricted space.
- Participate in broader executive assistant rotations including reception desk staffing.
- Perform other administrative / clerical duties, as assigned.
