As a Case Records Specialist, you will be a critical role in gathering, organizing, and managing large volumes of client documentation, including but not limited to medical records, billing, insurance information, policy documents, and related materials to support ongoing mass tort litigation and settlements.
Key Responsibilities :
- Request, collect, and track medical records, billing, and supporting documentation from healthcare providers and insurance carriers.
- Verify and update client demographics, insurance details, and relevant property or product-related documents.
- Review medical records and reports for accuracy, completeness, and consistency, following up promptly to resolve discrepancies.
- Maintain organized, up-to-date case files and data within the firm’s case management and project databases.
- Prepare medical summaries, document packets, and supporting materials for litigation, claims, and settlements.
- Collaborate with attorneys, project leads, internal teams, and external vendors to ensure timely receipt of required documentation.
- Uphold HIPAA compliance and strict confidentiality of all client medical information.
- Perform additional administrative and clerical support tasks as needed to assist case and project workflows.

1–3 years of experience in records management, case support, or legal administration (mass tort or personal injury experience a plus).Familiarity with medical terminology, HIPAA regulations, and medical records software.Organizational skills and attention to detail, with the ability to manage a high volume of cases simultaneously.Proficiency in Microsoft Office and case management systems.Excellent written and verbal communication skills, with professionalism in all correspondence.Ability to work independently, meet deadlines, and follow established procedures with precision and accountability.Strong ethical standards, commitment to confidentiality, and a collaborative team mindset.Bilingual in Spanish preferred but not requiredBenefits
