Manager of Administrative Operations & Compliance
Summary
We are seeking a highly experienced and strategic Manager of Administrative Operations & Compliance to build, lead, and optimize our License Registration function for our US-based operations. This is a crucial leadership role responsible for establishing all processes, quality assurance frameworks, and compliance protocols from the ground up. The successful candidate will own the end-to-end data integrity of a high-volume, regulatory-critical function and will be responsible for scaling the team from 5 to 10+ employees. This role requires a proven history of process optimization, risk management, and managerial excellence in a highly regulated environment.
K ey Responsibilities
Strategic Process Ownership & Design :
- Design, document, and implement the entire end-to-end workflow for all US license and permit registration activities, focusing on scalability and regulatory compliance
- Identify, evaluate, and integrate technology solutions (e.g., automation tools, CRM modifications) to maximize efficiency and data integrity.
- Define and track all operational Key Performance Indicators (KPIs) and Service Level Agreements (SLAs).
Compliance & Quality Assurance (QA) :
Establish a zero-defect Quality Assurance framework to ensure 100% accuracy in all regulatory filings, actively mitigating operational and compliance risk.Serve as the primary point of contact for internal / external audits related to registration data and procedures, ensuring all documentation is audit-ready.Team Leadership & Development :
Manage the full recruitment, training, and development life cycle for the administrative team, scaling the unit to meet operational demand (initially 5, growing to 10+).Focus on developing a pipeline of future team leads and cultivating a culture of accuracy, accountability, and continuous improvement.Stakeholder Management :
Act as the Strategic Partner to US-based senior management, providing regular performance reporting, forecasting capacity needs, and advising on regulatory challenges.Manage the unit's operational budget and resource allocation.Requirements
Required Qualifications
Experience : Minimum of 5-7 years of professional experience, including 3+ years in a formal managerial role overseeing a high-volume, regulated back-office, administrative, or compliance function (e.g., Shared Services, Banking Operations, or non-voice BPO).Process Expertise : Proven track record in process mapping, documentation (SOPs), and large-scale optimization (e.g., experience with Lean, Six Sigma, or similar methodologies).Technical Proficiency : Advanced command of CRM platforms (e.g., Salesforce, HubSpot), proficiency in data analysis / reporting tools, and experience with system integration or data migration projects.Language & Location : Fluent English (written and spoken) is required.Requirements
