Summary / Objective of Role
The Executive Assistant to the COO provides critical administrative and operational support to ensure the smooth running of the COO's office. This role focuses on high-level scheduling, travel coordination, documentation, and process organization, enabling the COO to operate efficiently across global markets. The Executive Assistant is responsible for managing day-to-day priorities, streamlining administrative processes, and maintaining effective communication between the COO's office and internal and external stakeholders.
Role Accountabilities
Administrative & Calendar Management
Maintain and manage the COO's complex calendar across multiple time zones, ensuring meetings and deadlines are prioritized effectively.
Coordinate logistics for executive meetings, board sessions, and internal / external events.
Prepare, edit, and distribute meeting agendas, minutes, and action items for the COO.
Ensure the COO is fully briefed and prepared for all meetings, calls, and events.
Travel & Logistics
Plan, book, and manage all domestic and international travel arrangements, including flights, accommodations, ground transportation, visas, and itineraries.
Provide comprehensive travel packs and ensure timely updates to any schedule changes.
Monitor and reconcile travel and expense reports in alignment with company policies.
Document Preparation & Reporting
Draft, proof, and format correspondence, reports, presentations, and other documents on behalf of the COO.
Organize and maintain digital and physical filing systems for the COO's office.
Track and monitor key documents, approvals, and deadlines to ensure timely action.
Operational Coordination
Act as the central point of contact for the COO's office, ensuring smooth communication flow between departments, regional offices, and external partners.
Support operational initiatives such as process tracking, data collation, and reporting.
Manage incoming communications, flagging urgent issues and ensuring appropriate follow-ups.
Event & Project Support
Assist in planning and executing executive offsites, leadership meetings, and team events.
Support the COO's special operational projects and initiatives as needed.
Coordinate vendor relationships and manage logistics for external engagements.

Schedules, travel arrangements, and documentation are consistently accurate and completed on time, enabling seamless operations.
Meeting and event materials are prepared and distributed proactively, ensuring stakeholders are well-informed and meetings run smoothly.
The COO and internal / external stakeholders consistently report high satisfaction with the quality and responsiveness of support.
Expense reports and administrative workflows are handled efficiently, contributing to streamlined financial and operational processes.
Operational initiatives and special projects are executed smoothly, supporting the organization's objectives and goals.
Required Education BA / BS degree preferred Required General Knowledge and Experience 57 years of experience as an Executive Assistant, ideally supporting C-suite leaders in a global environment.
Conditions of Employment This is a full-time position. Days and hours of work are typically Monday through Friday, 8 : 00am to 5pm. Evening and weekend work may be required as job duties demand. As per operational requirements.
Travel Requirements Per operational requirements Compensation The hourly rate for this position generally ranges between $38.46 - $50.48. This range is an estimate, based on potential employee qualifications, operational needs and other considerations by law.
