The Paralegal / Administrative Assistant is responsible for providing both legal and administrative support at a professional level to ensure smooth operations within the organization.
This role includes liaising with counsel, staff, and clients to manage the flow of documents, data, and information. This position is also directly responsible for integrating paralegal and administrative functions with the broader operations and management teams at Walton.
The Paralegal / Administrative Assistant position requires necessary teamwork skills to work effectively with management and staff to accomplish the strategic goals of the organization, and as such the position requires discretion in handling confidential, sensitive, and timely information.
A successful candidate for this position will be required to work in the office from Monday through Thursday, which emphasizes the importance of in-person interactions and collaboration within the team.
There is flexibility with the option to work from home on Fridays.
Responsibilities
The essential functions include, but are not limited to the following :
Legal
- Print documents, obtain signatures, notarize documents, scan, file and send back to requested parties.
- Make the necessary revisions to closing documents. Also obtain signatures and notarize these same documents, scan, and deliver back to closing agent.
- Prepare various documents, as requested.
- Organize and maintain legal files in electronic filing systems.
- Corporate entity set up, renewal filings, and entity dissolution.
- Maintenance of corporate documents.
- Review and approve invoices.
- Perform other related legal duties as assigned.
Administrative
- Greet visitors.
- Maintain office supplies and equipment.
- Ability to work independently and as part of a team.
- Able to read and comprehend simple tasks.
- Ability to prioritize and execute multiple tasks in a fast-paced environment.
- Ability to generate spreadsheets and word processing documents as required.
- Ability to gather facts, compile data, and prepare a written summary.
- Assist with organizing and coordinating company events (parties, hotel accommodations, conference rooms, travel logistics, etc.).
- Assist with ordering and picking up catering for office lunches and meetings.
- Performs research as requested and follow-up necessary to solve problems encountered.
- Provide general administrative support as requested.
Qualifications
- Bachelor’s Degree in related area and / or equivalent combination of relevant education and professional experience
- Minimum of 3 years relevant experience
- Good-level knowledge of common industry software such as Microsoft Office (Word, Excel, Outlook, PowerPoint), Adobe Acrobat, MS Teams, SharePoint, OneDrive, Visio, DocuSign, and comfort and interest in learning new applications as needed.
- Exceptional organization and communication skills
- Competent in understanding legal documents such as contracts and agreements
