This position provides general administrative and clerical assistance for Center Operations in a bilingual environment, reporting to the Center Manager.

This position requires considerable confidentiality, initiative, tact, judgment, organization, and strong interpersonal and communication skills.

Work is performed under direct supervision, using well-defined policies and procedures with some opportunity for independent judgment.

The position routinely communicates verbally and in writing with peers, supervisors, and managers in the organization.

As an Administrative Assistant , you will :

  • Greet all walk-in visitors.
  • Provide phone coverage of the main line; check voice messages in a timely fashion.
  • Sort corporate mail and distribute incoming faxes and emails.
  • Assist and support the executive team by carrying out administrative assignments as required.
  • Manage and update the company’s internal database of contacts including customer and trade association lists.
  • Compose, edit, and distribute correspondence.
  • Assist in coordinating meetings and appointments on work calendars and prepare meeting rooms.
  • Assist with travel arrangements for management and the executive team.
  • Order and maintain office supplies as needed.
  • Order food and beverages as needed for Center activities and occasionally may need to pick up ordered items (i.e. monthly birthday cakes).
  • Work independently and with a team on special non-recurring and ongoing projects.
  • Take and prepare meeting notes, minutes and other records.
  • Provide phone coverage of the main line.
  • Maintain electronic and hard copy files; retrieve information as needed or requested.
  • Demonstrate predictable, reliable, and timely attendance.
  • Follow written and verbal directions and complete assigned tasks on schedule.
  • Read, write, and communicate in English; communicate in person and by telephone in accordance with CyraCom policy.
  • Learn from directions, observations, and mistakes.
  • Work independently or as part of a team.
  • Interact appropriately with others including co-workers, supervisors, and customers.
  • Work with supervision, receiving instructions and feedback, coaching and counseling, and / or corrective action.
  • Develop and submit recommendations to improve and increase the effectiveness of the office.
  • Perform other duties as assigned.

As an Administrative Assistant , you are :

  • Able to enter data into computer accurately, send data to those outside the organization, and enter data into databases.
  • Able to schedule and keep track of appointments, skilled at coordinating arrangements with a minimum of supervision.
  • Able to remain flexible while working in a fast-paced environment.
  • Able to appropriately use initiative and work independently.
  • Able to competently operate common office equipment including, but not limited to computer, fax, copier, and telephone system.
  • Able to work systematically and logically, employing critical thinking and analytical skills.
  • Proficient in Excel, with the ability to build and edit reports using various formulas and functions.

As an Administrative Assistant , you must have :

  • Understanding of standard office practices and procedures.
  • Knowledge of business terminology, grammar, and composition.
  • Knowledge of customer service techniques and the ability to courteously greet and handle office visitors.
  • Knowledge of record keeping and file maintenance techniques.
  • Knowledge of organizational workflow and distribution of paperwork.
  • Working knowledge of organizational procedures, programs and policies.
  • Strong organizational and time management skills and ability to prioritize work and manage competing priorities in an environment with frequent interruptions.
  • Extensive knowledge of Microsoft Office including MS Word, Outlook, Excel, Power Point, Internet Explorer (or equivalent), and knowledge of office automation tools.

As an Administrative Assistant , you must be :

  • Able to accurately complete documents within a set amount of time.
  • Skilled at organizing and maintaining records and files.
  • Able to establish and maintain effective working relationships.

Minimum Qualifications :

  • High School Diploma, or equivalent.
  • One year of progressively responsible clerical experience supporting multiple staff, preferably management level and above.
  • Demonstrated proficiency using MS Excel at an intermediate to advanced level.
  • English proficiency B2+.

Physical Demands :

Requires sitting or standing for extended periods of time.

Extensive use of a computer and repetitive hand movements in the performance of duties.

Occasional lifting and carrying of material weighing up to twenty pounds may be required

Equipment Operated : Personal computer, printers, fax, copier and telephone.

Environmental Factors : None.

This position is expected to start at an hourly rate of $24 - $26 / hour, depending on experience
