Executive Assistant in the most full and complete sense. Manage and coordinate the CEO’s work life schedule, assist the CEO in all things administrative and manage his work life logistically, enabling him to concentrate on rapidly expanding the Bank.
A pleasant, polished and articulate person with a professional presence who will be the day-to-day voice and face of the CEO, as well as the manager of access to the CEO.
Responsibilities
- Manage complex executive calendars, schedule appointments, coordinate meetings and travel arrangements / rescheduling as necessary.
- Prepare and distribute administrative documents, including correspondence, presentations, and reports.
- Organize and coordinate department programs and events, such as recognition events and meetings.
- Arrange and coordinate on-site and off-site meetings.
- Interact with other staff, managers, executives, and customers on behalf of the CEO.
- Assist with the preparation of presentation decks and internal communications.
- Lead certain small-scope projects as needed.
- Manage recognition and volunteerism programs within the organization.
- Inform Executives of pending issues and items handled on their behalf.
- Run reports, including key performance metrics, compliance, and training.
- Manage expense reporting items.
- Handle additional administrative tasks as requested.
- Act as the host for visitors to the Bank’s executive offices / suite.
- Anticipate the CEO’s needs and proactively develop solutions.
- Willingness to adhere to an exemplify the Bank’s Core Values.
- Support other Bank Executives or staff as requested / needed and time permits.
Required Qualifications
- Professional presence and decorum; consistent polished personal appearance.
- High school diploma or equivalent.
- 5+ years of experience as an executive administrative assistant or related.
- Excellent time management, organizational, and prioritization skills.
- Flexibility and availability outside traditional business hours for scheduling & support.
- Ability to process and handle confidential information with strict discretion.
- Exceptional English language writing skills.
- Critical thinking and problem-solving skills, and a desire to continue to learn.
- Strong judgment and decision-making abilities.
- Excellent interpersonal skills; working and communicating with internal staff and external executives.
- Very proficient in MS Word and Outlook.
- Proficient in PowerPoint and MS Excel.
- Very proficient with Zoom and MS Teams videoconferencing programs.
Preferred Qualifications
- Certified Administrative Professional (or similar)
- Bachelor’s degree
- Proficiency in graphics programs (i.e. MS Visio)
