Job Summary :

Reporting to the Assistant Provost for University Records and University Registrar, the Project Administrator Senior supports two implementation projects : a new collective bargaining agreement with Northwestern Graduate Workers : United Electrical Works (NUGW-EU) and a new Student Services Collaborative within the Office of the Provost and University Enrollment that includes Student Finance (Bursar), Office of the Registrar, and Health Immunization Records, in close collaboration with Financial Aid and other student support offices.

This role will provide direction and thought leadership to develop strategic administrative initiatives that meet the objectives of these implementation projects.

This is a two-year term role.

Specific Responsibilities :

Graduate Union Implementation

  • Working with the University's graduate schools, departments, and programs, the Offices of Human Resources, General Counsel, the Provost, and other key stakeholders, supports the University's efforts to implement the collective bargaining agreement.
  • Tracks, documents, and ensures responses to student and administrative questions related to contractual articles and requirements, including timely response to formal requests for information.

Collaborates with units across the university to provide a comprehensive understanding and responses.

  • Uses independent judgment and discretion to determine when questions and concerns may indicate larger problems. Investigates and brings them to the attention of project leaders, suggesting next steps.
  • Builds and facilitates the maintenance of a union-related knowledge base.
  • Further develops and maintains the graduate union website, working with communication experts and university constituencies to determine appropriate content and organizing experts to create that content.
  • Manages grievance, arbitration, and NLRB cases, including coordinating meetings, identifying and researching issues, building and maintaining a tracking system, discussing strategy and tactics with internal and external advisors and leaders.

Gathers or coordinates the gathering of information necessary for grievance meetings, arbitration hearings, and NLRB hearings, working closely with in-house and outside University advocates as needed.

Maintains associated records.

Participates in and informs labor relations by coordinating schedules, securing rooms, and making logistical arrangements for committee meetings;

attends meetings to serve as note-taker and to ensure tracking of proposals and agreements. Coordinates follow-up on items discussed in committee meetings, including prioritizing issues within the community.

Identifies training needs and organizes training for campus partners who are responsible for implementing and enforcing contractual articles and administrative activities.

Student Services Collaborative

  • Facilitates the creation of project goals with office leaders and teams, clarifying and recording those goals, and designing project plans to implement agreed-upon changes.
  • Creates and implements surveys to gain insight into the needs of staff in the units and client groups in the University community.

Analyzes and summarizes findings and makes recommendations.

Creates a knowledge base to be shared across units. Facilitates the creation of a common production and communication calendar.

Coordinates the population and maintenance of these foundational documents.

Works with internal and external consultants and advisors on projects to improve the effectiveness of the teams. Anticipates and participates in the continued development and implementation of supportive resources that create community and contribute to the success of staff in the units of the Student Services Collaborative.

Facilitates the creation of unit-wide meeting and event schedules and protocols designed to foster collaboration, learning, and community.

Offers creative and research-based solutions to improve student support and success.

Performs other duties as assigned.

Minimum Qualifications :

Successful completion of a full 4-year course of study in an accredited college or university leading to a bachelor's or higher degree;

OR appropriate combination of education and experience.

5 years program / project administration or other relevant experience.

Preferred Qualifications :

  • Experience working with academic labor unions
  • 5 or more years in higher education administration
  • Experience designing and building tracking systems in SmartSheet or similar tools
  • Website maintenance

Target hiring range for this position will be between $90,000-$95,000 per year. Offered salary will be determined by the applicant's education, experience, knowledge, skills and abilities, as well as internal equity and alignment with market data.
