About the Role : They are seeking a highly organized, proactive, and detail-oriented Executive Assistant and Project Manager to support the CEO.
The ideal candidate will have exceptional project management skills, strong communication abilities, and the capacity to manage multiple tasks across various companies owned by the CEO.
This role requires a high degree of professionalism, confidentiality, and the ability to work in a fast-paced environment.
Key Responsibilities :
Executive Support :
- Provide comprehensive administrative support to the CEO, including managing calendars, scheduling meetings, and coordinating travel arrangements.
- Prepare and edit correspondence, reports, presentations, and other documents.
- Handle confidential information with discretion and ensure the CEO is well-prepared for meetings and events.
Project Management :
- Assist in planning, executing, and monitoring projects across multiple companies.
- Coordinate project timelines, deliverables, and ensure that all projects are delivered on time, within scope, and within budget.
- Develop detailed project plans to monitor and track progress.
- Liaise with internal and external stakeholders to ensure smooth project execution.
Communication and Coordination :
- Act as the point of contact between the CEO and internal / external stakeholders.
- Facilitate effective communication and follow-up on project updates, deadlines, and issues.
- Prepare meeting agendas, take minutes, and follow up on action items.
Research and Analysis :
- Conduct research on various topics as required by the CEO.
- Analyze data and provide insights and recommendations to support decision-making.
Office Management :
- Maintain an organized office environment and manage office supplies and equipment.
- Oversee administrative tasks and ensure efficient office operations.
Event Planning :
- Plan and coordinate company events, meetings, and conferences.
- Manage logistics, including venue selection, catering, and travel arrangements for attendees.
Qualifications :
- Bachelor’s degree in Business Administration, Management, or a related field.
- Minimum of 3 years of experience as an Executive Assistant, Project Manager, or in a similar role.
- Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent organizational and time-management skills.
- Strong written and verbal communication skills.
- Ability to multitask and prioritize workload in a fast-paced environment.
- High level of discretion and integrity.
- Strong problem-solving skills and attention to detail.
