Overview

Manages day-to-day leave of absence benefit administration and compliance with State, Local and Federal Leave regulations as well as company leave policies.

Interacts with various internal and external teams to provide information on the benefit plans and leave of absence processes, and to resolve any issues per Plan documents and regulatory requirements.

Completes any reports, surveys as directed by the Vice President. Manages vendor relationships related to Benefit offerings including Leaves of Absence.

Creates and conducts training for field managers with regards to company, state and Federal leaves of absence policies and practices as well as other benefits programs.

This role will pay a salary of $100,000 to $125,000 plus bonus

Benefits for FT roles : Benefits : Health, Dental and Vision insurance, 401(k) savings plan, 401(k) matching, and paid time off (vacation days, sick days, and 12 holidays).

This position will remain open until Sept 30, 2024

Responsibilities

Responsibilities

  • Manage the resolution of individual employee benefits issues including leaves of absence and life insurance enrollment and claims.
  • Interact with Payroll, Finance departments and Benefits vendors to resolve billing, pay, and enrollment matters as needed.
  • Inservice HR staff at Corporate and site locations on the process for leaves of absence and ensure the accurate calculation of pay.
  • Routinely reviews policy and processes relating to leaves and benefits administration and implements process improvements as necessary.
  • Oversee leave of absence third party administration and vendor relationship, ensuring compliance with state and federal leave regulations and company policies relating to leaves.
  • Manage leave of absence staff members to ensure compliance with company policies and practices and to provide guidance on program changes necessary to remain compliant with state, federal and / or local leave regulations.
  • Assist with oversight of the HRA, HSA and FSA programs and ensure prompt and compliant funding processes for employee accounts
  • Aids in audits of enrollment data against vendor invoices and payroll premium collection process on a quarterly basis for accuracy, initiates corrective actions when necessary to resolve issues.
  • Audit Leave of Absence activity for program compliance and oversee collection of any benefits premium repayments missed due to unpaid leaves
  • Ensure compliance with upcoming legislative changes relating to state, federal and local leaves, and suggest program updates as needed to comply.
  • Assist in coordination of Payroll, Finance and HRIS systems on implementation of any benefit or vendor contract updates as needed, particularly with leave of absence or life insurance offerings.
  • Coordinate with vendor partners to provide vendor education programs on benefit programs including leaves of absence for all US employees
  • Research benefits plan issues raised by employees by interacting with employees and vendors to bring issues to resolutions consistent with benefit and leave plan provisions.
  • Assists in completion of Annual 401k Audit activities via research, data analysis and documentation pulls.
  • Provide support of other benefit department team members or projects when necessary including support of annual benefits compliance reviews, 1094 and 1095 completions, 5500 completions, notification mailings, open enrollment and other annual filings and reports as needed.
  • Supports onboarding of new locations and acquisitions with benefits orientations as needed
  • Conduct quarterly benefits update meetings for field HR staff to provide insight into upcoming benefit program implementations or improvements, gain feedback on field needs or concerns, etc.

  • Provide general benefits information and leave of absence process overviews to employees and managers, as needed (., orientation, open enrollment and health fairs).
  • Reviews issues log for documentation of all benefits related escalations and resolutions
  • Maintains strict confidentiality and HIPAA / HiTECH compliance standards
  • Assists with HRIS data reviews and cleanup as needed to maintain benefit accuracy.

Qualifications

  • 6+ years of Leave of Absence administration with increasing levels of responsibility
  • 6+ years of benefits vendor management
  • Experience managing team members
  • Experience with ADP preferred
  • 3+ years of supervision experience
  • Enrollment auditing experience required
  • Strong Excel skills required
