MAINTENANCE ADMINISTRATIVE ASSISTANT (MONDAY - FRIDAY 7:00AM - 3:30PM)

GENERAL SUMMARY :

This is an hourly position, under minimal supervision, the maintenance coordinator is responsible for the overall administrative support to the maintenance Dept.

Ensure that all, invoices, parts, and all shop work orders and invoice processing are completed according to Plochman policy and procedure.

SCOPE OF JOB FUNCTION

Include, but are not limited to the following :

• Generate all maintenance related PO requests for purchases.
• Process all maintenance related invoices for payment; all maintenance related copying, filing and record keeping.
• Maintain parts inventory within guidelines and needs of the maintenance department, as directed by maintenance supervisor.
• Process all safety work orders as necessary.
• Keeps track of orders, works with Manager to expedite completion.
• Responsible for maintaining up to date process from inception to completion in the system.

• Process all equipment and facilities work orders.
• Communicate and negotiate the lowest possible price on parts while ensuring timely delivery.
• Purchase approved parts as required.
• Data entry of all maintenance related PM's.
• Maintain inventory documents, advising maintenance supervisor of inventory and issue as necessary.
• Maintain daily, weekly and monthly maintenance reports and logs.
• Update, maintain, and monitor CPMS with direction of maintenance supervisor of designated person.
• Maintain, update, and control equipment ID numbers, asset numbers, and equipment commissioning documents.
• Issue assigned work orders, PM's, safety repairs as directed by maintenance manager. Coordinate, post, and advise all maintenance personnel of scheduled meetings, training, and all other relevant information pertaining to the maintenance department, as directed by supervisor.
• Other duties as assigned.

Requirements

Must have strong computer skills and knowledgeable in Microsoft Office

2-3 years of similar experience

Education

• High School Diploma
• 2-3 years of related similar experience and / or equivalent combination of education and experience maintenance certification preferred but not required
• Excellent verbal and written English communication skills;
• Attention to detail.

Salary Description

$24.00 Per hour
