Job Summary
We are seeking a motivated and outgoing Administrative Assistant to join our team. In this role, you will provide support to our office employees, ensuring they have all the information and resources they need to perform their best.
Your responsibilities will include answering / making phone calls, organizing information, writing correspondence, and supporting departments work load.
The ideal candidate is highly organized with excellent written and verbal communication skills and a friendly demeanor.
Responsibilities
- Greet and welcome visitors in a professional and friendly matter
- Answer and direct phone calls to the appropriate individuals
- Provide general administrative and clerical support, including data entry, filing, and photocopying
- Process incoming and outgoing mail, packages, and deliveries.
- Manage office supplies and maintain inventory
- Assist with order entry and processing
- Coordinate projects and tasks as assigned
- Provide customer support and address inquiries or concerns
- Assist with operations, sales, hr, and finance team as needed

Experience :
- Bilingual Spanish proficiency is preferred
- Proficiency in various office software and tools, including Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), document management systems, project management software, and possibly industry-specific software.
- Familiarity with Xero is a plus
- Strong organizational skills with the ability to prioritize tasks effectively
- Excellent verbal and written communication skills
- Attention to detail and accuracy in data entry and proofreading
- A strong understanding of the need for confidentiality, especially when dealing with sensitive information and executive communications.
- Exceptionally organized and can efficiently manage calendars, schedules, and tasks for multiple individuals or teams.
- Managing projects, including planning, coordinating, and tracking progress. They may have handled complex projects, such as office moves or events.
- Problem solving : Adept at identifying issues, proposing solutions, and making decisions independently when needed.

Qualifications
- High school diploma / GED required, Associate’s degree or administrative training is preferred
- Previous experience as an Administrative Assistant or in a similar position
- Familiarity with standard office equipment such as printers and fax machines
- Excellent computer skills and knowledge of Microsoft Word, Outlook, and PowerPoint
- Highly organized with excellent time management skills and the ability to prioritize projects
