SR BILLING & PROJECT ACCOUNTING SPECIALIST

Gannett Fleming is seeking a Sr Billing & Project Accounting Specialist. This role involves reviewing project contract documentation to ensure project setup, adhering to client requirements, quality guidelines, and revenue decision-making protocols.

Responsibilities include input of new and existing project information, preparing invoices using various software packages, interfacing with technical, administrative, and professional personnel, and analyzing information relevant to client invoicing.

Additionally, the specialist will compile invoice packets to meet client requirements, which may include timesheet and expense documentation, DBE reporting, client-required forms, and Project Manager progress reports.

Responsibilities :

• Read, comprehend, and understand client contracts for compliance with corporate requirements and accurate project setup.
• Review project setup documents for accuracy, ensuring data reflects contract terms and authorizations, and complies with the Project Management & Quality Guidelines and the Revenue Decision Making Matrix for budget entry for new projects and project revisions.
• Input new and revised project data such as budgets, phase / task / org authorizations, client updates, and billing particulars into the BST Accounting System.
• Process subconsultant invoices through the BST Accounting System and release payments.
• Produce monthly Pre-bills & Final invoice packets for clients with a high level of accuracy.
• Post Final Invoices to Accounts Receivable and adjust Accounts Receivable or reinstate invoices as needed.
• Archive invoices and client contract documentation.
• Analyze and research Work-in-Process and Project Analysis with excellent proficiency.
• Perform Project Closeout Analysis with excellent proficiency.
• Provide internal and external audit liaison assistance.
• Assist with training and mentoring staff.
• Perform testing and maintenance in conjunction with the IT department.
• Assist in research and testing of new software implementation for the department.

Requirements :

• Associate's Degree in Accounting or related field and at least 15 years' relevant experience
• 10+ years' experience in Project Accounting
• Proficiency in Microsoft Excel, Word, Outlook, and Acrobat Adobe
• Ability to prepare Advanced invoices via BST, Excel, and utilize Client Portals
• Working knowledge of Project Accounting Software such as BST or Deltek
• Excellent written and verbal communication and organization skills
• Ability to multi-task with close attention to detail
• Possess time-management skills and a cooperative attitude to work under pressure
