Position Overview :

We are seeking a highly organized and proactive Executive Assistant to support a team at our client's Greenwich office. The ideal candidate will have 3-5 years of experience in a similar role, preferably within the financial services sector.

This role requires excellent communication skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.

The role will be in the office 3 days a week.

Key Responsibilities :

  • Administrative Support : Provide comprehensive administrative support to the team, including managing calendars, scheduling meetings, and coordinating travel arrangements.
  • Communication : Serve as the primary point of contact for internal and external stakeholders, managing correspondence, and ensuring timely responses.
  • Document Management : Prepare and edit documents, presentations, and reports. Maintain accurate and organized records and files.
  • Meeting Coordination : Organize and coordinate meetings, including preparing agendas, taking minutes, and following up on action items.
  • Expense Management : Handle expense reports, track budgets, and assist with financial documentation as needed.
  • Project Assistance : Support various projects by conducting research, gathering data, and assisting with project management tasks.
  • Office Management : Oversee office supplies and equipment, ensuring the office environment is professional and well-maintained.
  • Confidentiality : Handle sensitive information with discretion and maintain the highest level of confidentiality.

Qualifications :

Experience : 3-5 years of experience as an Executive Assistant or in a similar administrative role, preferably within the financial services or hedge fund industry.

Education : Bachelor’s degree or equivalent experience.

  • Strong organizational and multitasking abilities.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to work independently and as part of a team.
  • High level of professionalism and discretion.
