What You’ll Do :
- Coordinate and manage a complex calendar with precision, scheduling meetings, appointments, and conference calls, while adeptly prioritizing time-sensitive tasks.
- Organize comprehensive travel arrangements, both domestic and international, including flights, accommodations, ground transportation, and itineraries.
- Act as the primary point of contact, managing all communications with finesse and professionalism. Screen emails, phone calls, and messages, ensuring timely responses and follow-ups.
- Plan and execute meetings, conferences, and special events, handling all logistics, from venue selection to catering arrangements.
- Prepare and edit correspondence, reports, presentations, and other documents. Maintain accurate records and handle confidential information with the utmost discretion.
- Assist with various projects, conducting research, preparing materials, and providing detailed follow-up as needed.
- Ensure the smooth operation of the office, including ordering supplies, managing expenses, and supporting other team members as required.
Qualifications :
- Bachelor’s Degree required.
- 7+ years of experience as an Executive Assistant within financial or professional services, including private equity, venture capital, consulting, or investment firms.
- Exceptional organizational and time management skills, with an ability to manage multiple priorities and meet deadlines in a fast-paced environment.
- Keen attention to detail with a high level of accuracy in all work.
- Excellent verbal and written communication skills, with a professional demeanor and the ability to interact effectively with individuals at all levels.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with calendar management tools.
- Strong problem-solving skills with a proactive and flexible approach to work.
- Ability to handle confidential information with integrity and discretion.
