Seeking a Full-Time Food & Beverage Administrative Assistant at Savannah Lakes Village.

The Food & Beverage Administrative Assistant provides administrative and clerical support for the Director of Food & Beverage Services, Head Chef, Food and Beverage Manager of Hospitality, Clubhouse Manager, and the food service operations.

ESSENTIAL FUNCTIONS

  • Greets and assists members and guests as they enter and leave the facility.
  • Answers all incoming telephone calls and takes appropriate messages.
  • Schedules meetings and appointments for management.
  • Prepares the Banquet Events Order (BEO) as instructed by management. Once BEO is finalized responsible for making sure of its accuracy and for communicating the details with all food and beverage team members.

After events, make sure the BEO is entered into the F&B business system.

  • Takes reservations as needed and enters them into the F&B business system to ensure that reservations are not made after the dining / service operations are full.
  • Assists with purchase orders as needed.
  • Maintains food and beverage calendar of events.
  • Assists management with preparation of required reports.
  • Develops and maintains filing system.
  • Orders and maintains office and food and beverage supplies and equipment, including employee uniforms.
  • Receives and distributes mail and packages.
  • Assists food and beverage leadership by fielding questions on food and beverage events and / or issues and informs leadership as necessary.
  • Coordinates food and beverage communications as directed by the F&B leadership team.
  • Prepares table tents and golf cart ads for food and beverage operations after receiving design work from the Marketing Department.
  • Assists management with the point of sale system by setting up all menus for dining operations and events and trains server and bartender staff on point of sale system changes.
  • Prepares information sheet on all events for the servers and bartenders to follow.
  • Prepares special events menus for insertion in the menu jackets for member convenience.

SKILLS & ABILITIES

Education : High School Diploma Required

Vocational / Technical School Preferred

Experience : One or two years experience working in an office

Computer Skills :

Advanced knowledge working with Microsoft Office Suite and strong technical literacy with the ability to work in multiple systems.
