Position Description : We are looking for an Administrative Assistant to provide support to the Provider Supports team as well as the Elevate Clinic.
The administrative assistant will provide support primarily to the Provider Supports program but will also support the clinic office with administrative duties and receptionist duties when needed.
These duties include but are not limited to the following : assist with sending and following up with needed information from releases, uploading information to SharePoint and the electronic health record, printing and mailing out documents for the Provider Supports team , overseeing the CET / National training series by sending out invites, reminders, pulling training evaluations , posting and creating social media posts and creating a monthly newsletter for Provider Supports.
This position may also be responsible for assisting with client paperwork and administrative support for the IRSH programming when needed.
Job Responsibilities
Sending and receiving information from client releases
Tracking Provider support referrals
Uploading and oversight of paperwork and client tracking in sharepoint
Printing / Mailing documents as needed
Oversight of the CET and National training by sending out invites, reminders and positing social media information
Completing the monthly newsletter for Provider Supports
Assist with covering the front desk in the clinic when needed
Assist with completing new patient intake at the clinic when needed
Other duties assigned by supervisor.
Qualifications / Skills
- Bachelors degree in human services, administration preferred
- Will accept AA with 2 or more years experience in administration, client support
- Strong clinical skills
- Experience working with individuals with mental health / behavioral health
- Attentive to detail
- Excellent communication and customer service skills
- Experience in administration and business
- Strong organizational skills
- Proficiency with Microsoft Programs
- Strong oral and written communication skills.
- Knowledge of office administrator responsibilities, systems and procedures
- Proficiency in MS Office (MS Excel and MS Outlook, in particular)
- Hands on experience with office machines (e.g. fax machines and printers)
- Excellent time management skills and ability to multi-task and prioritize work
- A creative mind with an ability to suggest improvements
