A day in the life of a Surgical Scheduling Coordinator at Hackensack Meridian Health includes :
- Schedules procedures based on surgeons active privileges and monitors daily for changes.
- Selects patients from the MPI in Epic to schedule procedure(s) based on the established protocols in collaboration with the surgeon's office.
- Schedule PAT appointments according to the surgery.
- Provides and updates surgeon's office with detailed information by fax or telephone regarding patient's status for surgery.
- Responsible for documentation in the EMR of all special requests from the surgical office that are required for the procedure.
- Notifies and documents other departments and or companies to arrange for specific services required for the procedure.
- Obtains pertinent background and medical history that is appropriate for the procedure to be scheduled.
- Communicates Surgeon's block schedule and updates / manages block releases.
- Makes recommendations to team lead any schedule and block changes to increase scheduling efficiencies.
- Prepares daily OR schedule and confirms all cases for final schedule publication.
- Collaborates with OR leadership regarding surgeon requests.
- Continuously reviews and adjusts OR schedule on a daily basis to ensure maximum utilization.
- Performs the Fax Manager functions according to the procedure.
- Assigned to the OR Charge Desk as scheduled or required with specific tasks to include :
a. Performs administrative tasks to support the daily operations of the Operating Room as directed by Charge Nurse.
b. Manage the Epic snapboard schedule in tandem with the Charge Nurse; noting all changes and updates made to the schedule.
c. Manage and document all case cancellations.
d. Manage and communicate all vendors needed to support surgical cases.
e. Acts as a liaison between OR clinical staff, surgeons, and ancillary departments.
f. Assists in the preparation of unit-based documents and other clerical documentation.
g. Performs environmental rounds to ensure a safe and risk-free environment with follow up on identified issues to completion.
h. Assists when necessary in emergency situations.
- Attends department specific staff training and meetings to keep abreast of changes in the department and medical center.
- Display of cooperative interactions in and outside of the department. Performs a broad range of assignments with efficiency and accuracy and in a positive manner.
- Adheres to HMH's Organizational and Managerial competencies and standards of behavior.
- High School diploma, general equivalency diploma (GED), and / or GED equivalent programs is required.
- Two (2) years in hospital registration and / or scheduling with experience in a medical setting is required.
- Excellent communication and customer service skills required.
- Strong computer skills including proficiency with Microsoft Office or Google Software is required.
- Associates Degree or higher is preferred.
- Knowledge of medical terminology is preferred.
- Familiarity with Epic OpTime preferred.
- Typing (35 wpm is preferred).
