Duties :
Develop, plan, and manage key ATOP programs including the facilities Research Institute Summer Scholars Program (CRISSP) and the facilities Research Internship for Students and Emerging Scientists (facilities-RISES).
CRISSP is a 10-week undergraduate internship for students interested in research related to child health and wellness. Facilities-RISES is an intensive 3-summer internship for local high school students who are typically under-represented in research.
Approximately 60 students will be accepted for both programs. Each students is assigned to a research mentor and team by ATOP staff.
ATOP staff also lead the student selection process, arrange housing and stipend payments (CRISSP only) and arrange extensive supplemental programming.
This role administers program(s) and provides advanced oversight and support to program staff in coordinating program services.
JOB FUNCTIONS
Essential Functions
Aid in development, coordination and implementation of STEM internships for high school and college students
Order and confirm all catering for summer programming
Work closely with Outreach Program team to execute key programmatic components
Manage E-mail lists, perform audience-specific outreach, database entries, weekly updates and announcements, and alumni newsletters (mailchimp)
Invite and confirm speakers; remind attendees, arrange promotion, at events
Assist in coordination of student selection including updates to the databases, scheduling and participating in interviews, attending planning meetings, and aiding in communications between students and faculty
Assist in training and supervision of co-op students joining ATOP for the summer
Provide day of support for ATOP events and programs including room and AV set up and catering
Collect and prepare materials for events; manage collection of individual development plans and other documents
Aid in participant selection including compilation, review of applications and / or interviews
Assist in the creation of a positive environment for our students including timely response to emails
Collaborate across teams and serve as the primary liaison for the program.
Attend and participate in team, project and program meetings.
Assist in creation of clinical shadowing schedule and mange updates over the course of the summer
Maintain program metrics and related tools and regularly reports results.
Assist in student onboarding process post clearance including ID badges and communications with research teams
Coordinate information collection, compilation and dissemination as required.
Assist in planning and implementation of program orientations and graduations including attending planning meeting, assisting students in preparation for poster day and final presentations and leading set up and logistical arrangements
Perform other duties and projects as required.
Skills :
Advanced proficiency with office software (Microsoft Office) including email, databases, web research and ability to trouble shoot computer-related problems as well as other administrative experience and competence, virtual platforms

Experience Required :
At least two (2) years of administration, coordination, or program experience. Previous experience in a healthcare related environment.
Previous leadership, management, or supervisory experience

At least five (5) years of administration, coordination, or program experience. At least three (3) years of administration, coordination or program experience and Previous experience in a healthcare related environment
