POSITION PURPOSE :
The Administrative Assistant / Receptionist is a key support member of the Guidant Measurement office located in Houston, TX.
You will be responsible for performing clerical and administrative duties in an office setting.
POSITION DUTIES :
- Sorting mail, filing, answering phones, greeting and directing visitors, scheduling meetings, and restocking supplies
- Work will include specific projects and tasks that involve use of Microsoft Word, Excel, Outlook and PowerPoint projects may vary depending on manager requests
- Collects, assembles, analyses and summarizes statistics and information from a variety of sources as directed
- Prepares charts, graphs and tables for presentations
- Routes or answers routine correspondence not requiring supervisor attention
- Deals with external sources such as customers, partners and suppliers to resolve non-routine problems Generate memos, emails and reports when appropriate
- Assume responsibility for maintenance of office equipment, including computers, copy machines and fax machines
- Maintain office / kitchen supplies by checking inventory and order items
- Respond to questions and requests for information
- Answer incoming calls and assume other receptionist duties when needed
- Implement and monitor programs as directed by management, and see the programs through to completion
- Shipping small packages / letters
- Travel arrangements and solve related issues providing assistance and guidance to employees as required
- Update eBoards and / or assisting marketing / communications
- Maintain Emergency Evacuation list. Add / remove employees in a timely manner, assign group leaders and alternates as needed.
Post Office
Retrieve mail from post office box; sort and distribute.
Marketing
- Organize all marketing items in Design Center.
- Order items as needed.
- Supply marketing items for educational events.
Archibus
- Maintain Space Console for entire facility.
- Place new hires in their designated space in the Move Request Console; input moves as needed.
- Remove departing employees from the Space Console.
New Hire Orientation
- Prepare new hire paperwork folder for each new hire.
- Provide travel mug, notebook, pen and temporary badge for each employee.
- Order lunch for all new hires and their managers.
- Create nameplates for each new employee's workspace.
Accu-Load / Training Classes
Work with appropriate teams prior to classes regarding class sizes, dietary restrictions, and where students are coming from.
Work with security to ensure parking spaces and class location signage is in place, and if any international flags are needed.
- Provide breakfast items, snacks, catered lunches and beverages throughout each day.
- Provide travel mugs, notebooks and visitor guides for each student.
- Print a name plate for each student.
- Print certificates and place in document holders for distribution upon completion of the class.
Qualifications :
- Diploma or GED
- 2 or more years of experience managing an office
- Proficiency in Microsoft Office Suite
- Strong Customer Service skills
- Ability to manage several tasks at one time.
- Strong interpersonal skills
