Job Title : Receptionist / Sales Support Associate
Job Description
This candidate will be the assistant to the Account Manager. They will also be responsible for approximately 20 inbound calls and 25 outbound calls per day.
The outbound calls will be placed to carriers letting them know that their cargo is ready and scheduling pickup. The candidate will be utilizing Microsoft Excel, Outlook, and Word daily to communicate with team members and create invoices, so they must have basic to intermediate knowledge of these programs.
Work hours are Monday to Friday from 8am-5pm with a lunch break from 12pm-1pm. Key Responsibilities : 1. Supports Account Managers in meeting the customer's needs.
2. Enters customer orders and quotes into the computer system. 3. Keeps up with order status and keeps track of all open customer orders.
4. Responsible for keeping open order reports current. 5. Processes Return Authorizations and handles customer claims with our QA department.
6. Obtains Proof of Deliveries / Proofs of export for every order shipped. 7. Prepares all documents for export merchandise (commercial invoices, packing lists, certificate of origin, SEDs, SLIs).
8. Coordinates with freight forwarders. 9. Works extensively in Microsoft Office 365 - EXCEL. 10. Aids in general clerical work such as correspondence and filing.
11. Sends out order invoices to customers after an order has been shipped, loads invoices in web-platforms, and follows up on registration for payment.
12. Literature distribution. Other tasks as assigned.
