POSITION SUMMARY :

The Administrative Operations Manager will directly support the Chief Commercial Officer, General Counsel, and HR Administrative Operations.

A successful candidate will be extremely well-organized, an excellent communicator, and capable of effectively coordinating complex schedules while working closely with other administrative and management team members to coordinate various activities.

ESSENTIAL DUTIES AND RESPONSIBILITIES :

  • Provide executive level administrative support to the Chief Commercial Officer, General Counsel, and HR Administrative Operations
  • Ensure all administrative functions are handled in a proactive manner allowing management to focus on leading and growing the company
  • Manage complex calendars and coordinate meetings and conferences, including agendas, meeting materials, logistics, etc.
  • Coordinate domestic and international travel and meeting logistics potentially involving multiple locations and individuals;

prepare complex itineraries that may often require changes and prepare subsequent expense reports.

  • Perform a wide variety of non-routine administrative tasks and support special projects or assignments as assigned. This may include task / project management, coordination of tasks / meetings / communications, managing stakeholder lists, etc.
  • Work independently, anticipating next steps, taking the initiative, exercising sound judgement to ensure executives are well prepared for all elements of their schedule.
  • Identify issues and use effective problem-solving techniques, tact, and discretion in various situations.
  • Support confidential interdepartmental communications and communications with external clients.
  • Act as an information resource on organizational policies and procedures, leveraging resourcefulness to gather and represent information.
  • Coordinate onboarding activities for new hires.
  • Serve as a liaison between functions, employees, job candidates, external stakeholders and organizations.
  • Develop effective professional relationships and partnerships with internal and external stakeholders and organizations.
  • Perform general administrative functions as needed
  • On occasion, we may require administrative support during off hours, including weekends, or as emergencies arise.

KNOWLEDGE AND SKILL REQUIREMENTS :

  • The Candidate will have 8+ years progressive administrative support experience including 2+ years directly supporting senior board level executives.
  • The Candidate will be a proficient project manager, responsible for handling the coordination of strategic priorities across departments.
  • The Candidate will have a proven ability to multi-task in a fast-paced environment, prioritizing appropriately, while maintaining a focus on the company mission and its values, including showing a high degree of confidentiality.
  • The candidate will have experience managing complex calendars, coordinating meetings and conferences, and providing administrative support for special meetings, including agendas, materials, and logistics.
  • The Candidate will have advanced proficiency in Microsoft Office and be willing to learn new software and manage multiple platforms
  • The Candidate will have experience balancing multiple time-sensitive tasks in a deadline driven environment.
  • The Candidate will be based in the Bay Area, and willing to commute to the Headquarters office at least twice per week, on Wednesdays and Thursdays.
  • Highly developed interpersonal skills, exhibiting a professional, energetic, proactive and enthusiastic demeanor and attitude.

Strong teamwork and collaboration skills.

  • Self-motivated with an ability to learn quickly and with minimal supervision.
  • Experience planning and leading strategic initiatives.
  • Excellent written and verbal communication skills coupled with strong analytical and organizational skills.
  • Bachelor’s degree in a related field preferred.
  • Experience in the life sciences industry, pharmaceutical or biotechnology preferred.

WORKING CONDITIONS :

PHYSICAL DEMANDS : While performing the duties of this job, the employee is required to stand, walk; sit; talk and hear.

Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception and the ability to adjust focus.

WORK ENVIRONMENT : The noise level in the work environment is usually moderate. Some travel may be required.
