We are offering an exciting opportunity for an Office Assistant in the Professional Services industry based in Houston, Texas.

As an Office Assistant, you will be tasked with a range of administrative duties, from managing incoming calls and correspondence to coordinating office events and maintaining a clean and organized work environment.

Responsibilities

  • Oversee general office tasks including filing, photocopying, and managing video conferences.
  • Handle incoming calls, redirecting them to the appropriate personnel and providing necessary information to callers.
  • Respond promptly and professionally to both internal and external communications via email and other platforms.
  • Draft and manage correspondence including letters, memos, and other documents.
  • Organize and manage executive and office calendars, scheduling appointments and meetings as necessary.
  • Coordinate and ensure smooth execution of office events such as parties, celebrations, and conferences.
  • Greet, assist, and direct office visitors, providing excellent customer service at all times.
  • Maintain cleanliness in the kitchen and promote a hygienic work environment.
  • Regularly order, stock, and distribute office supplies and kitchen pantry items.
  • Utilize software such as Adobe Acrobat, Concur, Microsoft Word, Excel, Outlook, and PowerPoint to perform administrative tasks and event coordination effectively.
  • At least 5 years of experience in a similar role, preferably within the professional services industry
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
  • Experience using Adobe Acrobat and Concur
  • Demonstrated administrative experience, including managing schedules, coordinating meetings, and maintaining files
  • Proven experience in event coordination, from planning to execution
  • Excellent communication skills, both written and verbal
  • Ability to multitask and prioritize tasks effectively
  • Strong organizational skills and attention to detail
  • Demonstrated problem-solving skills
  • Ability to work independently and as part of a team
