We are looking for an Executive Assistant to provide high-level administrative support to members of our Strategic Leadership Team and manage the Welcome Center at our Emprise Bank Center.
The ideal candidate will be a proactive problem solver with exceptional communication skills and meticulous attention for details.
This person should have experience working in an office environment, performing administrative duties, and providing support to executive leadership.
Given the dynamic nature of the executive landscape, we rely on executive assistants to be flexible and consistent while maintaining the confidentiality of high-level systems and operations.
A successful candidate will have :
- Excellent verbal and written communication skills
- Excellent organizational skills and attention to detail
- Excellent time management skills with a proven ability to meet deadlines
- Ability to function well in a high-paced and at times stressful environment
- Extensive knowledge of office administration, clerical procedures, and recordkeeping systems
- Experience with managing travel arrangements
- Extremely proficient with Microsoft Office Suite or similar software with the ability to learn new or updated software
- An understanding of and commitment to our values
Essential functions of the role :
Executive Assistance
- Provide high-level administrative support and assistance for members of the Strategic Leadership Team (SLT)
- Coordinate complex scheduling and calendar management
- Manage travel logistics and activities, including accommodations, transportation, and meals
- Maintain professionalism and strict confidentiality with all materials
- Manage and submit expense reports
- Assist in event logistics for various bank departments
- Coordinate catering as needed
- Assist other Executive Assistants as needed
- Perform additional duties as assigned by executives
Welcome Center Management
- Act as first point of contact to all Emprise Bank Center visitors, vendors, associates, and customers
- Administer and monitor visitor badges and logs
- Assist with elevator access to all visitors
- Work with security as needed
- Manage Welcome Center email and calendar
Other duties as assigned within the scope and responsibility of the job
Requirements
- High school diploma or equivalent required; Bachelor's degree in Business Administration or related field preferred
- Four plus years of experience in an administrative role reporting directly to upper management
- Proficiency with large server based applications and typical desktop software required
- Availability to work Monday - Friday 8 : 00 AM to 5 : 00 PM and special events as needed required
Hours : 40 hours per week
Typical Schedule : Monday Friday : 8 : 00 AM to 5 : 00 PM
