SUMMARY : The Program Associate is a full-time position that supports the daily operations of the Kennedy-Lugar Youth Exchange and Study (YES, www.

yesprograms.org) program and works in cooperation with other high school program staff in the secondary school division including the Future Leaders Exchange (FLEX, www.

discoverflex.org) program, and the Congress-Bundestag Youth Exchange (CBYX, https : / / exchanges.state.gov / us / program / congress-bundestag-youth-exchange) program.

CBYX, FLEX, and YES provide a life-changing, one-year scholarship exchange opportunity in the U.S. for approximately 1,600 competitively selected secondary school students from the Middle East, Africa, Asia, and Central Europe.

Primary tasks include supporting the YES student medical review and clearance process, supporting YES student administrative tasks, and assisting students at Dulles airport during travel.

The Program Associate reports to the YES Program Manager (Inbound). Responsibilities necessitate that some work be performed during non-business hours such as weekends, early mornings and / or evenings, particularly during workshops and travel times.

RESPONSIBILITIES

  • Assist with administrative student placement and on-program support tasks including required program paperwork and travel requests.
  • Support medical professionals who serve as reviewers for YES applicants, as well as overseas YES staff who work on the participant medical review process.
  • Facilitate the health screening process by acting as a mediator between field staff and health professionals.
  • Assist arriving and departing students at Dulles and other area airports with check in, security, finding their gates, and ground transportation.
  • Represent American Councils to travel vendors including hotels, airlines, airport & ground transportation staff.
  • Provide support to large-scale workshops and year-end program events including accompanying FLEX, YES, and CBYX students to congressional meetings.
  • Assist with selection of Social Media Specialists during workshops in Washington, DC.
  • Assist in compiling program materials and reports to funder.
  • Other duties, as assigned.

Qualifications

  • Bachelor's degree required.
  • Excellent written and verbal communication skills in English required; knowledge of second language preferred.
  • Experience working with international programs.
  • Demonstrated organizational ability, flexibility, and problem-solving skills.
  • Demonstrated attention to detail in a repetitive, clerical, and deadline-oriented work environment.
  • Excellent administrative and organizational skills.
  • Experience coordinating international travel for large groups.
  • Experience working with youth participants.
  • Ability to manage multiple priorities quickly and effectively.
  • Ability to work independently while contributing to an overall team effort.
  • Familiarity with cultures and geography of the target countries.
  • Strong commitment to the mission.

ADDITIONAL INFORMATION ABOUT THE POSITION

This role includes some on-call responsibilities, including occasionally monitoring communications outside of business hours for emergencies.

This position is based in Washington, D.C. Position contingent upon funding.

WORK CONDITIONS & PHYSICAL DEMANDS

Essential functions are performed in a hybrid setting from home or in a general office setting with low noise. Job demands may require long periods of sitting;

telephone work and / or computer work, as well as interactions with other team members and external stakeholders and lifting supplies up to 20 pounds.
