Citizens Securities, Inc. is honored to be a high-quality provider in the investment industry. As an Administrative Assistant, you will be responsible for providing general administrative and clerical support for Citizens Wealth Management Divisional and Regional Sales Managers.
Responsibilities may include, but are not limited to : coordination of meetings, ordering of supplies and equipment, tracking of time off, and new colleague onboarding support.
While some of the focus of this job is on the coordination and execution of administrative tasks, incumbents also spend substantial time performing clerical duties.
Position requires excellent organizational skills, and the ability to handle multiple tasks simultaneously.
Primary responsibilities include
- Supply Ordering : business signage, office supplies, stationary, technology, etc.
- Calendar Management : scheduling and coordinating meetings
- Presentation Support / development : creating decks for presentations, including presentations to leadership
- Onboarding Support : collaborating with onboarding coordinator and management to ensure a smooth onboarding experience for new colleagues
- Tech Support : requesting system and platform access
- Expense Reports : assist Divisional Sales Managers (DSMs) and Regional Sales Managers (RSMs) with collecting receipts and submitting expense reports
- Travel Support : book travel for DSMs and RSMs as needed
- Event Coordination : assist in supporting regional and divisional meetings
- Paid Time Off Tracking : record time off requests for Financial Advisors
Qualifications
- 1-5 years of administrative experience in financial services preferred
- Strong Microsoft Office skills required
- Excellent written and verbal communication skills required
- Familiarity with collecting and interpreting data in order to create presentations
- Strong attention to detail skills required
- Ability to work both independently and as part of a team
- Organizational and time management skills required
- Experience completing expense reports and booking travel preferred
Education, Certifications and / or Other Professional Credentials
High school diploma or GED required
