Position Overview :
Our Management Office is looking to hire an experienced Assistant Manager who excels in organization and enjoys connecting with people.
You’ll be at the heart of our operations, handling administrative tasks, coordinating service providers, and serving as a key contact for our residents.

This is an in-person, in-office position with standard hours from 8 : 00 AM to 4 : 00 PM, Monday through Friday. Candidates must live within a reasonable commute to the office.
Key Responsibilities :
- Support the HOA General Manager, Board, staff, and residents, ensuring clear communication and organization.
- Address phone, email, and in-person inquiries from residents and the Board with a professional and friendly demeanor.
- Maintain and update the homeowner directory and contact lists.
- Prepare HOA reports and spreadsheets regularly.
- Coordinate services, appointments, and meetings, ensuring smooth operations.
- Manage bids, send proposals, evaluate responses, and compare service providers.
- Assist with enforcing HOA rules, drafting correspondence, and handling communications.
- Oversee office supplies, equipment, calendar, and community projects.
Required Skills :
- Strong experience with Microsoft Word and Excel for writing letters and creating spreadsheets.
- Excellent written and verbal communication skills for engaging with community.
- Patience and professional etiquette when interacting with homeowners, officials, contractors, and staff.
- Willingness to acquire new skills and learn HOA rules, laws, and procedures.
- Attention to detail and strong organizational skills to manage tasks efficiently.
Bonus Skills (Optional) :
- Graphic design for creating community materials.
- Website management for updating content and calendars.
- Event planning for organizing community events.
- Marketing / social media management for engaging residents and promoting activities.
Education & Experience :
- Associate or BA degree preferred.
- 4+ years of administrative experience.
- HOA management experience is beneficial, but we’re willing to train the right candidate.
- Extra Consideration will be given to candidates with experience as an assistant for a general contractor, subcontractor, or real estate developer.
