The Construction Accounting Administrator is a staff position that is responsible for processing the project's accounts payable and providing administrative support to Project Controller.
This position receives requests for payment, verifies supporting documentation, enters information into the accounting system, requests and disburses payments, obtains and maintains required contract documentation, prepares routing forms, prepares contract changes orders and performs other duties as required.
Responsibilities :
- Receives requests for payment including invoices and contractor pay applications (AIA), verifies documents, assigns General Ledger or Job Cost coding per Budget
- Obtains new vendor W-9's and sets vendor up in accounting system
- Ensures signature authority rules are maintained on all requests for payment
- Analyzes accounts payable transactions to ensure compliance with internal controls and accounting principles
- Maintains and reconciles accounts payable ledger and prepares management reports
- Analyzes and resolves discrepancies in billings and payments and recommends improvements to accounts payable policies and procedures
- Data entry and scanning of all requests for payment into accounting system
- Requests issuance of checks and disburses payments
- Records manual payments including ACH's and Wire Transfers
- Obtains and maintains required documentation including W-9's, notices to owner, lien releases, certificates of insurance and other documents as required
- Maintains filing system for required documents and requests for payment
- Reconciles vendor statements and ensures timely receipt of requests for payment
- Prepares contract / change order routing forms and obtains approval
- Prepares contract change order document and obtains approval

Qualifications :
- Minimum 3 years of experience in Accounting or Accounts Payable
- Bachelor's degree with a major in Accounting or related discipline preferred
- Construction Accounts Payable experience preferred
- Yardi and Microsoft Office experience preferred
- Strong math and communication skills
- Excellent organization skills
