Executive Personal Assistant at Private Family Office

Private family office of a prominent tech Executive is looking for an experienced Executive Personal Assistant to join their team.

You will provide comprehensive support to the busy Executive, including managing calendars, booking travel, coordinating health and wellness appointments, and operationally overseeing the household team - driver, security, house manager, and PA.

Someone who is highly responsive with a 24 / 7 mindset, communicates clearly and concisely, and can hit the ground running.

This hybrid role is open to candidates in either NYC or the Bay Area working out of the Executive’s residences. 150-180K+ DOE + generous benefits for employees and dependents, 401k with matching, daily lunch, and unlimited PTO.

Responsibilities :

  • Manage complex calendar and travel logistics for the Executive, ensuring seamless coordination of all appointments and where the principal needs to be.
  • Plan and coordinate extensive travel, particularly around specific interests and activities involving detailed logistics.
  • Take full ownership of scheduling and managing health and wellness appointments.
  • Handle reservations, run errands, and support to Executive's guests as needed.
  • Coordinate with security drivers and manage related logistics to ensure smooth transitions between appointments and locations.
  • Collaborate with other team members to streamline processes and maintain clear communication across the board.

Qualifications :

  • 7+ years of relevant experience, with a solid understanding of executive-level support and its demands.
  • Forward-thinking and proactive, with the ability to anticipate needs and plan ahead.
  • Strong interpersonal skills, with extensive experience interfacing with clients and external partners.
  • Flexible and responsive, capable of providing support as needed.
  • Exceptional communication skills with the ability to clearly and concisely convey information.
  • Ability to distill complex information and deliver clear, actionable messages.
  • A self-starter who can hit the ground running, with a proven ability to manage multiple tasks efficiently and effectively.
