Due to growth, we are looking for a Tax Operations Manager . This role will serve our tax operations function on our Wealth Enhancement Tax & Consulting Services (WETCS) team.

WETCS is the in-house tax services organization at Wealth Enhancement Group, a top-5 RIA (Registered Investment advisor) wealth management and financial advisory firm with over 100 locations nationwide.

This role collaborates with other WETCS and WEG employees to improve individual and team expertise, effectiveness, efficiency and satisfaction, and helps enhance the WETCS and WEG brands via high quality work output and professional, responsive, and respectful interactions with clients, and WEG employees.

This individual will be accountable for effective and efficient operations of our business and play a critical role in our success.

This is a leadership role at WETCS with good potential for career progression in a growing business. (This role has opportunity for hybrid work from any of our locations.)

The salary target for this role is $100,000.00 - $110,000.00 depending on experience.

We select our initial compensation target using national compensation survey data. When we make an offer, we then factor in things like tenure, performance, and geographic location to come up with the most accurate numbers.

Primary Job Functions

Achieve Core Objectives for the Team

  • Deliver client, Tax Advisor, and Financial Advisor satisfaction goals.
  • Deliver team satisfaction goals.
  • Deliver tax operations efficiency goals.
  • Ensure Tax Advisors do not have to perform tax operations work.
  • Ensure operational readiness for growth plans

Tax Operations Management

  • Collaborate with the VP and Tax Operations and Tax Advisor staff to develop and implement effective and efficient processes to ensure smooth operation of tax preparation, planning, and related services.
  • Advise on systems requirements to enable and optimize tax operations.
  • Advise on Client, Tax Advisor, Financial Advisor and internal WEG department engagement needs, processes, and related education / training.
  • Ensure defined processes are adhered to and executed effectively. e. Identify and address opportunities for ongoing operations improvements.
  • Manage end-to-end tax operations, including :
  • Operational support and communication for clients, tax advisors, and advisory teams. Data processing and entry into Salesforce and tax software.
  • Engagement Letter preparation and tracking.
  • Tax organizer preparation, tracking, and processing.
  • Tax documentation processing, storage, and return to clients.
  • Tax returns and 1099 filing / eFiling processes. vii. Management and tracking of regulatory body notices
  • Invoicing to clients and coordinating billing with Finance & Accounting.
  • Operational reports monitoring, investigation and resolution of operational issues, and escalation to the appropriate people when appropriate.
  • Preparing and communicating status reports, weekly plans, workloads, and current and anticipated issues.
  • Manage general administrative and clerical duties.
  • Arrange and participate in meetings and offsites.
  • Team Leadership and Management ( 15%)
  • Assist VP with defining hiring plans for Tax Operations
  • Recruit, interview, and hire high-potential team members for open positions.
  • Ensure staff are competent in their responsibilities, properly trained in tax operations, and have access to necessary job tools;

train new staff on company policies and procedures.

  • Ensure that team members have clarity on role, responsibilities, work objectives, and expectations as a WETCS Operations Team member.
  • Monitor and manage ongoing team member work assignments and performance.
  • Hold team members accountable for embodying WEG and WETCS values and contributing positively to WETCS culture and work environment.
  • Conduct team member annual performance reviews.
  • Identify team member development needs and implement development plans.
  • Coach and mentor team members.
  • Manage spend to budget.

Foster Teamwork

  • Build and maintain good relationships with Tax Advisors, Advisory teams and clients.
  • Collaborate with team members to improve team effectiveness, productivity, and satisfaction.
  • Contribute to maintaining a positive and fun WETCS culture.

Tax Operations Knowledge & Training

  • Document tax operations processes & keep documentation up to date.
  • Define training requirements for operations team.
  • Help develop training materials for operations team, other WETCS and WEG personnel who interact with the operations team, and clients.
  • Develop professional growth plans for team members
  • Stay informed about relevant operations trends and technology in the tax services industry

Education / Qualifications

  • Bachelor's degree required.
  • Minimum of 2 years managing two or more direct reports
  • Minimum of 3 years of tax operations experience at a public accounting or similar firm.
  • Minimum of 5 additional years of process, operations, or administrative experience.
  • Ability to effectively manage multiple tasks or projects simultaneously.
  • Strong verbal and written communication skills.
  • Proficiency in Excel, CCH Axcess or other leading professional preparation software.
  • Proficiency with Salesforce, Adobe Acrobat and DocuSign preferred.
  • Collaborative; strong team-orientation.

Additional Requirements

  • Some travel to a remote office may be required.
  • Must be willing to work long hours during peak tax seasons.
  • Hybrid, full-time role : Work from office a minimum of 3 days per week, and up to 6 days a week during peak tax seasons
