About the Role :

The Order Entry Specialist role is responsible for accurately entering blank orders and decoration specifications, as well as serving as the first point of contact for customers to ensure quick and clear resolution of order-related questions. You'll also support special data and cross-departmental projects as needed. This position is critical in ensuring order accuracy, timely processing, and a smooth customer experience from the very start.

Success in this role means orders are entered quickly and accurately, customers feel supported and informed from the first point of contact, and data is clean, consistent, and well-documented. You're proactive, organized, and confident navigating between departments to get things done. Your attention to detail and responsiveness help set the tone for a great customer experience and keep operations flowing efficiently.

You'll come to work every day if you Get, Want, and have the Capacity for :

  • Entering blank orders

Accurately input customer orders into the ERP system, ensuring all required fields are complete.

  • Verify pricing, product codes, and shipping details to prevent errors and delays.
  • Maintain compliance with company policies and customer-specific requirements.
  • First customer reach out and resolve
  • Serve as the initial point of contact for order-related issues, providing timely and professional responses.

  • Investigate and resolve discrepancies or issues with orders before escalation.
  • Entering deco specs
  • Enter decoration specifications (logos, colors, placement) with precision to ensure production accuracy.

  • Cross-check artwork approvals and communicate with the design team for clarification when needed.
  • Maintain organized records of all deco details for audit and quality purposes.
  • Special data projects as assigned
  • Assist with data cleanup, reporting, and analysis to support operational efficiency.

  • Compile and validate information for ad hoc projects requested by management.
  • Cross departmental projects as assigned
  • Collaborate with operations teams to streamline order workflows.

  • Assist in special projects within other departments.
  • Participate in process improvement initiatives to enhance order accuracy and turnaround time.
  • Provide insights and feedback to improve interdepartmental communication and efficiency.

  • Skills & Qualifications

  • 2-5 years relevant order / data entry experience.
  • Strong attention to detail and accuracy in data entry for orders and specifications.
  • Proficiency with ERP systems and Microsoft Office Suite (Excel, Outlook).
  • Excellent written and verbal communication skills for customer interaction and issue resolution.
  • Ability to interpret and enter decoration specifications accurately.
  • Strong organizational skills to manage multiple priorities and deadlines.
  • Problem-solving skills to resolve order discrepancies quickly and effectively.
  • Ability to work collaboratively on cross-departmental projects and special assignments.
  • Adaptability to handle ad hoc data projects and process improvements.
  • Commitment to maintaining data integrity.

    We offer a rate of $17-$21 per hour and a comprehensive benefits package including Medical, Prescription, Health Savings Account, Flexible Spending Accounts, Dental, Vision, Life, AD&D, Disability, Employee Assistance Program, and 401(k).
