The Resident Accounts Coordinator performs duties under general supervision of the Resident Accounts Specialist but works independently to maintain financial aspects of resident accounts, including resident advisory on financial matters related to housing debts and other SJSU debts when applicable, maintenance of third-party and conference group receivables, and collections on past due accounts.
This position prepares a variety of reports and analyzes data for accuracy for the Financial Operations area of the Housing department.
This position also conducts research and analyzes financial information, data audits and requests in the Housing department.
Key Responsibilities
Identifies residents with delinquent accounts, analyzes and updates lists, producing delinquency notices, assessing late fees, revoking parking when required.
Places holds on student records when necessary. Compiles data and provides information to Assistant Director for Technology Services (ADTS) for basic setup of StarRez database.
Reviews and finalizes the setup.
In conjunction with the Licensing / Financial Specialist, works within the parameters of University and state laws and regulations to coordinate evictions of residents for non-payment and / or non-enrollment.
Ensures Housing Behavioral Case Manager is kept aware of all pending evictions to coordinate outreach.
- Provides financial aid counseling to ensure resident meets federal and state financial aid guidelines, California Educational Code Title V relating to eligibility to reside on campus, and other academic issues that may affect the resident’s ability to continue residing on campus.
- Provides financial counseling to residents who are unable to make standard payments due to delays in financial aid or other financial difficulties.
- Approves or denies housing extensions (deferrals) based on financial aid award and advises residents on responsibilities and options regarding individual payment agreements.
- Reviews financial aid information provided by the Financial Aid Department to coordinate payment plan information with financial aid disbursement dates.
- Oversees coordination of financial activities for residents : administers refunds and deferment programs for residents.
- Advises residents on academic hold policy and process to clear this hold.
- Places extensions on approved records and advises residents on rights and responsibilities regarding housing payment plan options and payment dates.
- Researches charge and payment adjustments and requests Reports and Billing.
- Researches unapplied payments and generates charge adjustments when necessary.
- Oversees coordination of financial services for residents. Administers billing, refunds, certification and deferment programs for students.
- Conducts year-end analysis of accounts and recommends residents to be denied future use of housing facilities due to payment history.
- Prepares comprehensive receivable listings, and provides summary receivable information for use by Administrative & Financial Operations Specialist and Financial Manager.
- May oversee and coordinate student assistants.
Knowledge, Skills & Abilities
- Ability to review financial documents and data for accuracy, validity, completeness and adherence to standards.
- Ability to clearly answer questions and explain procedures and policies to students and the public in an efficient and courteous manner, apply judgment, discretion and initiative in performing a variety of tasks.
- Working knowledge and understanding of Federal and State Financial Aid processes that affect Housing residents.
- Thorough knowledge of word processing, spreadsheet, and database software.
- Proven ability to manage competing projects, tasks, and deadlines.
- Ability to maintain confidentiality and appropriately handle sensitive communications for students, staff, and external agencies.
- Ability to work with database systems to pull fields or records for reporting or transferring data to other databases.
- Ability to compose and appropriately format correspondence and business reports using appropriate English grammar, punctuation and spelling.
- Knowledge of computer applications : MS Word, Excel, Access, PowerPoint, and Internet tools.
- Thorough knowledge of English grammar, business writing, punctuation, and spelling.
- Ability to coordinate and direct student assistants.
Required Qualifications
- Any equivalent combination of education and experience which provides the required knowledge and abilities.
- Four years of progressively responsible financial record-keeping experience which has provided the above knowledge and abilities.
Preferred Qualifications
- Bachelor’s Degree in Business Administration, Finance, Accounting or a related field.
- Experience maintaining accounts receivables.
- Experience coordinating delinquency processes.
- Experience providing financial advising or counseling.
- Experience working in a residential or property management environment.
- Experience working in an educational environment.
Compensation
Classification : Accounting Technician III
Anticipated Hiring Range : $4,581 / month - $4,846 / month
CSU Salary Range : $4,166 / month - $7,312 / month
