Office Assistant
We are seeking a dedicated and detail-oriented Administrative Assistant to join our team. The ideal candidate will be responsible for managing employee schedules, following up with customers, finding new leads, handling phone calls including cold calling, performing data entry, scheduling meetings between clients and the CEO, overseeing employees' scheduled routes, recording and maintaining information, and ensuring smooth coordination and communication across the organization.

Responsibilities :
- Scheduling Employees : Create and manage employee schedules to ensure optimal coverage and efficiency. Adjust schedules as needed to accommodate changing priorities and requirements.
- Customer Follow-up : Communicate with customers to provide updates, address inquiries, and ensure high levels of customer satisfaction.
- Lead Generation : Identify and pursue potential leads through various channels to support business growth. Maintain a database of leads and track progress.
- Phone Calls / Cold Calling : Handle inbound and outbound calls professionally, including cold calling potential customers.
Provide information and resolve issues as needed.
- Data Entry : Accurately enter and update data into company databases and systems. Ensure data integrity and confidentiality.
- Meeting Scheduling : Coordinate and schedule meetings between clients and the CEO. Prepare necessary materials and ensure all parties are informed and prepared.
- Overseeing Employee Routes : Monitor and manage employees' scheduled routes to ensure timely and efficient service delivery.
- Recording Information : Maintain accurate records of all activities, communications, and transactions. Prepare reports as required.
- Coordination and Communication : Facilitate effective communication and coordination across various departments. Assist in organizing company events and meetings.
Qualifications :
- High school diploma or GED required
- Customer service experience in our industry is preferred
- Enjoys talking with customers and can communicate through verbal and written channels
- Proven experience as an Administrative Assistant or similar role.
- Proficiency in MS Office (MS Excel and MS Outlook, in particular).
- Excellent time management skills and the ability to prioritize work.
- Attention to detail and problem-solving skills.
- Strong organizational skills with the ability to multi-task.
- Excellent written and verbal communication skills.
- Ability to work independently and as part of a team.
- High school diploma or equivalent; additional qualification as an Administrative assistant or Secretary will be a plus.
