Job Summary
We are looking for individual to join our client’s team as Administrative Assistant. Reports to Chief Executive Officer / Designee and assists in all administrative functions and coordinates activities and information of the department.
In some cases, may oversee work of other clerical employees.
Job Description
- Plan, schedule and organize daily activities for Department Head and less experienced clerical staff if applicable.
- Screen, evaluate and set priorities for visitors and other contacts and provide appropriate direction.
- Research information, discuss policies with department managers and maintain all departmental manuals including policies, procedures, and job descriptions.
- Prepare department statistics for various areas such as employee and patient incidents and assist in preparing reports.
- Coordinate and schedule all meetings and appointments.
- Prepare and maintain purchase requisitions, personnel action forms, and work orders for office repairs. Ensure supplies levels are maintained.
- Function as a liaison between the supervisor and other hospital staff.
- Maintain confidential records for the department and staff.
- Handle correspondence, including typing letters and reports.
- Answer phones and routing calls to the appropriate recipient.
- Prepare meeting minutes agendas and takes meeting minutes.
- Coordinates logistics for meetings including room set-up and catering.
- Carry out administrative duties such as filing, typing, copying, binding and scanning.
- Perform other duties as assigned.
- Must be able to prioritize and handle multiple requests coming at the same time.
- Loads of Executive scheduling and planning
- Organizational skills is a must
- Critical Thinking Covering for other Admins when needed
- Proficient in Word, Excel, PowerPoint, Email management
- Familiar with Joint Commission - preferred not mandatory
Skills Required
- Ability to communicate in English, both verbally and in writing.
- Microsoft Office Suite literacy.
- Good interpersonal skills.
- Able to multi-task and is organized.
- Proficiency in Word, Excel, PowerPoint.
- Ability to type 50 words / minute.
Education / Training / Certifications
Highschool diploma or GED
Additional Requirements
Associate's degree preferred
Pay Rate
- $25.00 per hour
