Project Coordinator

The Job File Coordinator plays a key role at the center of the Office & Production environment. You will provide crucial support to the Project Manager while maintaining pristine organization and documentation of the digital and hard-copy project files.

Effective communication with stakeholders is essential, from customers to insurance adjusters, project managers, and production technicians.

As a Project Coordinator, you must be comfortable interacting with stakeholders at every stage of the job process.

Primary Responsibilities

  • Provide support to Project Manager as needed
  • Arrange subcontractor visits according to Project Manager's direction
  • Maintain an updated, complete, and accurate digital and hard-copy project file
  • Monitor job file work-in-process status
  • Monitor and ensure insurance requirements are followed
  • Review and validate initial field documentation
  • Create preliminary estimate
  • Maintain complete and accurate status notes and data points within WC 2.0
  • Communicate scope, scheduling changes, and approvals to adjuster and / or customer per Project

Manager direction

  • Maintain internal and external communications
  • Prepare job file reports
  • Complete and review job file documentation for final upload and the audit process
  • Complete job file audit process
  • Perform job close-out, including invoicing

Position Requirements

  • 2+ years of administrative or office-related experience
  • Experience with writing estimates, job file processes, and quality assurance is a plus
  • Experience in the service industry environment is a plus
  • Experience working with the insurance industry is a plus
  • Outstanding written and verbal communication skills, including proper pronunciation and grammar, and a consistently courteous and professional tone of voice at all times
  • Polite, confident, and excellent customer service skills, including listening and questioning skills
  • Ability to remain calm and professional during tense or stressful situations
  • Excellent organizational skills and strong attention to detail
  • Very self-motivated and goal-oriented
  • Ability to multi-task
  • Capability to work in a fast-paced, team-oriented office environment
  • Proficiency in Microsoft Office (i.e., Outlook, Word, Excel)
  • Ability to learn new software, including Xactimate and proprietary software

Hours :

40 hours / week, M F, 8 AM 5 PM, flexible to work overtime when required

Compensation :

$25 per hour
