FGA (Fergus Garber Architects) is a collaborative, design-focused architecture firm of 20+ professionals in Palo Alto. We are seeking a full-time, in-house Office Manager to play a key role in maintaining and improving our studio's daily operations and culture.

The ideal candidate is highly organized, service-oriented, and dependable — someone who brings empathy, curiosity, and joy to their work. This position is integral to sustaining our professional, high-touch, and human-centered environment, supporting staff and our clients with care and professionalism.

Requirements :

  • Minimum 3 years of experience working in a professional administrative environment.
  • Strong organizational skills and ability to manage multiple priorities.
  • A bachelors degree or equivalent work experience is required.
  • Familiarity with HR or accounting platforms (e.g., QuickBooks, Gusto, ADP).
  • Knowledge of HR best practices or fundamental employment law is a plus.
  • This is a full-time in-office position.
  • Must live within an hour's drive to Palo Alto

Performance characteristics :

  • Takes ownership of responsibilities with a can-do attitude. Strong multi-tasking and follow-through skills. High attention to detail and organization skills.
  • Self-motivated, tenacious, problem-solver, and a team player.
  • Skilled with Google Suite : managing files in Google Drive, Google Sheets, and Google Docs.
  • Experienced in basic accounting and budgeting.
  • Experience in the service industry is a strong plus.
  • Strong written and verbal communication skills, including writing and sending professional emails.
  • Experience with Slack and essential online survey tools is a strong plus.
  • High integrity and strong professional ethics. Trustworthy, discreet, and able to process confidential information with discretion and emotional intelligence.
  • Reliable : achieves deadlines punctually and takes ownership of responsibilities.
  • Ability to work efficiently, conscientiously, and independently in a small office.
  • Organize, plan, and prioritize work Develop specific goals based on required priorities and formulate work plans to organize and accomplish work independently with minimal oversight.
  • Optimistic, reliable, and flexible attitude.
  • General Responsibilities :

  • QuickBooks transaction entry and report generation with an accountant's oversight.
  • Coordinate, set up,  and order weekly office lunch for group meeting.
  • Maintain a clean, organized, and well-functioning office environment.
  • Process incoming and outgoing mail.
  • Administrative support to Partners.
  • Maintaining and organizing files.
  • Purchasing and maintaining an inventory of supplies for the office, kitchen, and snacks.
  • Manage office providers such as janitorial, exterior maintenance & landscaping, repair professionals / companies.
  • Assist with social and marketing events as needed.
  • Overseeing the annual employee review process.
  • Manage handbook changes.
  • Booking travel arrangements for annual firm trips.
  • Coordinating hiring and onboarding new employees.
  • Manage employee benefit administration and oversight.
  • Compensation :

  • Compensation : $35–$48 / hour, depending on experience and qualifications
  • Annual bonus potential based on performance
