Position Summary

The Director of Academic and Staff Personnel for the Division of Undergraduate Education at UCLA manages and provides leadership for the Division's Office of Human Resources in all aspects of academic personnel and staff human resources and payroll activities for approximately 40 academic appointees, 250 staff and a student employee population that varies between 600 to 900 active employees during the fiscal year.

The Division of Undergraduate Education is comprised of the following departments and programs which all develop and provide programs and services for UCLA's undergraduate students : Academic Advancement Program, Academic Support-Athletics, College Academic Counseling, Undergraduate Education Initiatives, Honors, New Student and Transition Programs, Scholarship Resource Center, Undergraduate Research Centers, Undergraduate Education Information Technology, and various grant programs.

The Director's primary responsibilities include supervising five administrative staff, reviewing all UCPath transactions, ensuring Divisional compliance with all University personnel and payroll policies and procedures, collective bargaining agreements, and state and federal labor laws, compensation, and training programs and partnering with the division's management team regarding personnel issues.

This position directly reports to the Associate Dean for Undergraduate Education. A human resources generalist background along with strong administrative and operational management skills, supervisory experience and a customer service orientation are required for this position.

Salary & Compensation

UCLA provides a full pay range. Actual salary offers consider factors, including budget, prior experience, skills, knowledge, abilities, education, licensure and certifications, and other business considerations.

Qualifications

  • 1. Working knowledge in performing payroll operations including auditing time keeping documents, calculating overtime, and reconciling errors.
  • Required 2. Demonstrated skill in leadership as demonstrated by exercising mature judgment in independent decision making, and exercising initiative and creativity in implementing divisional and University policies.
  • Required 3. Demonstrated skill in managing diverse programs and projects as demonstrated by creating ideas, determining procedures and courses of action, selecting methods for implementation, and prioritizing program objectives and tasks. - Required (Required)
  • 4. Management experience and knowledge in the areas of personnel, payroll, benefits and compliance requirements. - Preferred 5.

Experience with University personnel and payroll system to review and approve personnel transactions. - Preferred 6. Thorough knowledge of UC policies and procedures or comparable human resources management experience and knowledge in the areas of personnel, payroll, benefits and compliance requirements.

  • 7. Demonstrated ability to relate complex personnel information to faculty, administrators, management, project coordinators, and student liaisons, who might not be familiar with detailed personnel policies and procedures.

Working knowledge and experience in, creating and formatting spreadsheets, developing and maintaining computerized personnel data bases, producing correspondence and reports utilizing word processing applications, using email programs and the Internet. - Required (Required)

  • 10. Ability to answer questions, solve problems, and make sound recommendations by gathering data, conducting administrative analyses requiring knowledge of University's administration, organization, policies procedures, and practices.

  • 12. Demonstrated interpersonal skills to establish and maintain professional and effective working relationship with staff, faculty and students. - Required (Required)
  • 13. Demonstrated skill and flexibility in managing and supervising administrative personnel including delegating responsibility, time management, recruiting, training, evaluating job performance and taking disciplinary actions as necessary. - Required (Required)
  • 14. Skill in prioritizing assignments and completing work in a timely manner when there are changes in workload, changes in assignment, pressures of deadlines, and heavy workload. - Required (Required)
  • 15. Writing skills to prepare concise, logical, grammatically correct correspondence and reports. - Required (Required)
  • 16. Demonstrated skill in making oral presentations to groups or individuals which are organized and informative, taking into account varying degrees of expertise and familiarity with personnel concepts and special language - Required (Required)
  • 17. Ability and judgment to make responsible, thoughtful, and effective decisions, and to lead individuals and groups in implementing decisions to improve organizational effectiveness. - Required (Required)
  • 18. Demonstrated ability and judgment to deal with confidential and sensitive information with discretion and tact. - Required (Required)
  • 19. Demonstrated ability to work with people from a variety of backgrounds and cultures and from different campus cohorts (faculty, students, staff) in a manner that elicits professional and respectful communication. - Required (Required)
