Versar Global Solutions is currently seeking a full-time Administrative Assistant. The ideal candidate is organized with an eye for detail and possesses excellent communication and computer skills.
Responsibilities
- Distribute project information to staff, management & clients.
- Assemble specialized reports as requested (bridgework orders, NPDES, inspections, etc.)
- Collect, mail, or email correspondence.
- Maintain office supplies and stock control.
- Verify and sign for deliveries.
- Perform receptionist duties (i.e., answer phones, deliver messages, confirm orders, manage customer complaints, assist in work order processes)
- Schedule and plan meetings / appointments with DOT, MOA, and Employees
- Input, maintained, and closed work orders.
- Input customer, client, and internal personnel information to maintain and close work orders.
- Input data received from project personnel into the work order system.
- Ensure data is correct, complete, and professionally organized in the work order.
- File and upload physical documents as it relates to work orders and 3rd Party Claims
- Investigate and obtain additional information as the 3rd Party Claims Department requested and input it into the work order system.
- Send out reminders for work orders that require additional information to be closed, such as quantities, description of work, materials, personnel, photos, etc.
- Will assist different departments with Special Projects Procedural Inspection data entry
- Will assist the management team with the projects Fleet Management documentation
- Answer telephone calls and emails as directed by management
- Understand and abide by the standards set forth for ethical behavior and integrity as detailed in the Code of Business Conduct
Qualifications
- Minimum two years of Administrative Assistant or related office experience
- Minimum two years of customer service experience
- High school diploma or GED required; associate or bachelor’s degree preferred.
- Average typing speed of 40 words per minute
- Working knowledge of Microsoft Office
- Strong computer skills
- 2+ years of administrative support in an office environment
- 2+ years of customer service experience
- Ability to follow detailed instructions and be detail oriented.
- Ability and willingness to work closely with others and departments.
- Strong organizational skills
- Ability to enter data into a computer quickly and accurately.
