Job description

This is an excellent job for an Operations Professional with extensive experience in the Wealth Management Industry.

This is a full-time role for a hands-on self-starter that is excited at the opportunity to run point on everything from establishing best practices, advisor onboarding and servicing, supervising administrative staff, trade order placement and portfolio management, fee billing and tech support.

As operations manager, you will be at the center of managing the firms day-to-day operations encompassing everything from onboarding new advisors, helping with trade reconciliation and portfolio management, troubleshooting technology related operational issues and supervising administrative staff.

Using your experience, you will build relationships and work with people across all departments as well as the firms branch office network.

You will be a key part of the firms mission to improve the quality of financial advice that is available to investors, enhancing both the services our advisor partners can offer their clients, their financial future, and our overall growth.

The Day-to-Day :

• Answer phones & greet clients in a friendly, warm manner.
• Supervise Corporate Office Administrators to include : Hiring, firing, coaching and performance reviews
• Develop and execute standard operating procedures.
• Assist in new Advisor onboarding.
• Assist in Advisor servicing as needed.
• Assist in portfolio management.
• Assist in trade order placement.
• Assist in advisory fee billing.
• Assist in technology support.
• Reviews and sign material as authorized.
• Various industry-specific tasks.
• Ensures confidentiality and controls access to sensitive information such as client files.
• Responds to inquiries and requests for information requiring knowledge of departmental and company policies and procedures utilizing the investment services team.
• Schedules and prioritizes workload by setting appropriate deadlines.
• Fee corrections / management fee research and reconciliation.
• Custodian liaison to Schwab, TD and RJ profile setups, firm customization, integrations, and security administration.
• Third party software setup and maintenance : MGP & AdvisoryWorld.
• Orion maintenance : Firm profile, manage users, reporting, training, and portal customizations.
• E&O maintenance and certificates.
• Solicitor setups and terminations.
• Other duties as assigned by Supervisor.
